FBM, is currently seeking an experienced, flexible, and customer service-oriented Executive Assistant to support our President & CEO in the Santa Ana, CA area.
The Executive Assistant at FBM plays a pivotal role in providing high-level, confidential administrative support to our President and CEO. From preparing reports and presentations to managing calendars/travel and coordinating projects, this role requires exceptional multitasking abilities and a commitment to maintaining the highest level of customer satisfaction for both internal and external stakeholders.
Essential Executive Assistant Functions:
- Develop and maintain positive relationships with all divisions and departments within FBM.
- Collaborate with company leaders to prepare, edit, and finalize presentations.
- Manage expense reconciliation processes.
- Manage complex calendars, schedule meetings, and coordinate travel arrangements.
- Works closely and effectively with the senior leadership team to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
- Assist with special projects and initiatives as assigned by the executive team.
- Handle sensitive information with confidentiality and discretion.
- Prioritize and manage multiple tasks simultaneously, ensuring deadlines are met efficiently.
- Adheres to compliance with applicable rules and regulations set in bylaws regarding board and board committee matters, including advance distribution of materials before meetings in electronic/paper format.
- Occasional evening and weekend work may be required as job duties.
- Detailed and deadline oriented.
- Able to effectively prioritize multiple tasks coupled with solid attention to detail.
- Must exhibit excellent written verbal and interpersonal communication skills.
- Travel 5%
- Bachelor's degree preferred.
- Proven experience as an Executive Assistant or similar role, supporting C-level executives.
- Strong organizational and time management skills, with the ability to prioritize tasks effectively.
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
- High level of professionalism and discretion when dealing with confidential information.
- Ability to work independently with minimal supervision and as part of a team.
- Flexibility and adaptability to changing priorities and deadlines.
- Strong problem-solving skills and attention to detail.
