Job Description
Performs a wide variety of administrative duties primarily for the General Manager, Director of Operations, and Director of Gaming Operations. Support will be required, on an as-needed basis, to specified departments (GM, Operations, Table Games/Sportsbook, and Player Development). Candidates will need proven communication and interfacing abilities, excellent interpersonal skills, and the ability to work in a busy front office environment. Candidate should have working knowledge of spreadsheets and command of word processing capabilities. Must possess the competency to learn new computer applications, have excellent organizational skills and a demonstrated ability through previous assignments to multi-task.

Major Responsibilities/Activities:
- Amex reconciliation.
- Enter Capital PR’s.
- Assist Department’s with payroll, timecards, and schedule.
- Assist Uniform Department in the yearly inventory.
- Compose and prepare documents for attendance and disciplinary.
- Check tip sheets to ensure Craps Dealers and Writers hours are correct.
- In charge of Table Games files for point tracking.
- Help with SWS ordering, including inventory of supply room per CMS reports.
- Assist with VIP event set ups as to ordering, organizing, work, etc.
- Assist with booking reservations per Casino Host in Hotel, Juniper, etc.
- Assist with documentation of all SV Vouchers for tracking purposes.
- Assist with special requests for VI Hotel Guest (i.e., Flowers, Chocolates, etc.)
General Manager-
- Maintains Office
- Orders and maintains supplies and arranges for equipment maintenance.
- Prepares and coordinates General Manager’s schedule.
- Coordinates and schedules meetings and conferences for team members. Prepares conference rooms for meetings.
- Maintain calendars, exercising judgment and tact in coordinating meetings and schedule appointments for internal and external guests, as well as reschedule, when necessary.
- Assist General Manager with errands in the workplace.
- Organizes and maintains file system, files correspondence, documents and records as directed.
- Compose or assist in external and internal correspondence as well as other complex documents, as requested.
- Compose and prepare documents for review, signature, and distribution through a variety of methods.
- Makes copies and scans correspondence or other printed materials.
- Prioritizes, distributes, and prepares incoming and outgoing mail, including e-mail and faxes.
- Answers incoming telephone calls, screens call and assists directly with routine inquiries.
- An individual is expected to be aware of business activities and events as they relate to the department and the entire property.
- Maintains a high level of confidentiality and time sensitive material.
- Maintains a strong commitment to provide support for the casino’s initiatives, programs, goals and special projects.
- Performs other duties as assigned.
Minimum Requirements
- Preference is given to qualified Santa Ana Tribal Members.
- High school diploma or GED required. Undergraduate Degree a plus.
- Minimum of four years’ experience in a similar administrative role and/or General Manager related area.
- Excellent written and verbal communication skills and the ability to communicate with multiple levels of management.
- Must be able to read, write, speak, and understand English.
- Bilingual (Spanish/English) preferred.
- Must have advanced Computer capabilities.
- Knowledge of spreadsheet software and word processing software required with use of Microsoft products including Word, Excel, Outlook, ADP, and Access preferred.
- Knowledge of software systems required with the use of Infinium software preferred.
- A smartphone capable of running company applications and communication systems is required. If a smartphone is not provided by the company, a candidate or employee may be provided a smartphone of the company’s choice, through a payroll deduction program.
- All employees are required to proficiently use a smartphone for company applications, email, and text.
- Must be able to obtain and maintain a Pueblo of Santa Ana Gaming Regulatory Commission key gaming license.
