SUMMARY OF DUTIES: Primarily responsible to meet the administrative needs of the Chief Executive Officer; handles special projects as requested, as well as daily correspondence and scheduling needs; assists with inter-departmental and inter-company needs.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following: Additional duties, which are necessary to carry out the function of Executive Administrative Assistant, may be assigned and are incorporated by reference into this job description.
- Primary duty includes the exercise of discretion and independent judgment with respect to matters of significance and is directly related to the management and general business operations of the Company and its customers;
- Manage, maintain and coordinate calendar for the CEO;
- Make all travel arrangements for the CEO;
- Responsible for paying all personal bills; including main residence and secondary homes of the CEO;
- Reviews and opens all incoming mail for the CEO;
- Coordinates and arranges monetary transfers from one entity to another;
- Responsible for coordinating duties of CEO personal home staff (housekeeper, chauffeur, etc.);
- Responsible to assist in the daily correspondence for the CEO;
- Works, as requested, to gather financial information from vendors;
- Responsible for arranging meetings and special events based on budget;
- Assists in filing and retrieval of corporate documents, records, and reports;
- Screen phone calls and greet visitors using judgment to determine whether they should be given access to CEO;
- Prepare agendas and make arrangements for committee, board, and other meetings. May be required to attend those meetings and compile, transcribe and distribute minutes of meetings;
- Conduct research, compile data, and prepare papers for consideration and presentation by CEO;
- Prepare invoices, reports, memos, letters, financial statements and other documents, using word processing, excel spreadsheet and power point presentations;
- Responsible to be the back-up to the Executive Administrative Assistant II;
- Reports to work on time and completes the above listed tasks in a competent manner;
- Performs above listed duties in a cooperative, capable manner, processing the information efficiently and communicating the information as needed, effectively;
- All personnel within this job description shall be subject to cross-training into jobs within the organization based on Company needs.
This job may require travel to other offices within the Georges Companies.

The physical demands of this job include light physical activity performing sometimes repetitive activities of an administrative, productive and/or technical nature that must be met by the employee to successfully perform the essential functions of this job. In order to perform the functions of this job the employee must regularly sit, talk or hear, and use hands to touch, handle or feel. The employee must occasionally stand, walk, stoop, kneel, crouch, or crawl and reach with hands or arms. The employee must regularly lift 10 pounds and occasionally lift up to 25 pounds. Specific vision abilities required by this job include close vision, and the ability to adjust focus.
