As the Executive Administrative Assistant, you will play a pivotal role in supporting our legal and finance team. Your organizational skills, attention to detail, and ability to manage multiple tasks will be crucial in maintaining efficient administrative processes.
The Job
- Manage executive calendars, schedule meetings, and coordinate appointments.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Handle confidential and sensitive information with the utmost discretion and professionalism.
- Assist in the preparation of reports, financial data, and presentations for executive meetings.
- Manage and prioritize incoming communications, including emails, phone calls, and messages.
- Conduct research, gather data, and provide insights to support decision-making processes.
- Perform general administrative duties such as electronic filing, record-keeping, and office supply management.
- Manage Company Vehicle Acquisitions, Dispositions, Transfers and other related compliance.
- Manage Facility Leases, Business Licenses and other related compliances.
- Manage the company credit card program and process company card expense reports for payment through accounts payable.
- Review, approve, and process employee expense reports for payment through accounts payable.
Qualifications and Skills
- Proven experience as an Accounting Administrative Assistant, Accounts Payable, or similar role.
- Strong proficiency in office software (MS Office Suite, Microsoft 365, SharePoint, Teams, Word, Excel etc.)
- Excellent organizational and time management skills with the ability to multitask effectively.
- Exceptional verbal and written communication skills.
- High degree of professionalism and ability to handle sensitive and confidential information.
- Strong attention to detail and accuracy.
- Ability to work independently and collaboratively within a team.
- Bachelor's degree in Business Administration or related field (preferred)
Job Types: Full-time, Contract
Pay: $25.00 - $30.00 per hour
Expected hours: 40 per week
