Our client is seeking an Executive Administrative Assistant to join their team! You will provide high-level administrative support which will play an essential part to their organization.
Shift: 8am - 5pm (Mon - Fri)
ESSENTIAL FUNCTIONS:
- This person will be the public introduction to our company being responsible for reception both at the front lobby and by phone requiring a professional manner and presentation.
- Coordinate overall administrative activities and company schedule ensuring office operations and procedures are executed and organized; correspondence is controlled; filing systems are designed; supply requisitions are reviewed.
- Identifies opportunities for cost savings, better efficiency, or other improvements; recommends and implements policy or process changes as appropriate.
- Perform purchasing functions with a manageable number of vendors and suppliers.
- Manage and coordinate owners’ and executives’ schedules, calendars, and appointments. Compose, edit, and distribute business correspondence when required.
- Purchase and manage office supplies, for executive team in accordance with company purchasing policies and budgetary restrictions.
- Participate as needed in special projects.
- To work effectively in this role, the individual must multi-task, working on several requests simultaneously without losing focus and maintain office harmony, office morale, and crisis management.
- This position encounters sensitive and confidential information that may be of a critical and strategic nature; confidentiality must be maintained.
General Requirements:
• Bachelor’s degree or equivalent experience in office management.
• Knowledge of basic administrative and clerical systems and procedures.
• Highly motivated, able to think clearly under pressure and remain flexible with conflicting priorities and tight deadlines.
• Team player with a positive attitude.
• Excellent PC/Microsoft Office skills, including Outlook, Excel, Word, and Google sheets as well as other Google applications.
• Excellent English written and verbal communication; bilingual candidate with proficiency win both English and Spanish will be considered.
• Basic knowledge of QuickBooks
• Excellent organizational and time management skills – experience with BI tools
