Who we're looking for
Toyota's EV Supply Department is looking for a passionate and highly motivated Administrative Assistant.

The Executive Assistant plays a critical role in establishing that desired culture and climate for the areas they support, as well as for EVS overall.
What you'll be doing
- Reporting to EV Supply Chief of Staff to Susan Elkington & EV Supply organization.
- Create and find opportunities to have a more agile and streamlined process/environment.
- Executive support for GM & EV Supply team with potential opportunity to expand as org develops.
- Schedule, management, and visualization of Executive calendars, travel, conference room approvals, expense reports, meeting support & summaries, etc.
- Maintain travel requirements, for example, setup security travel arrangements for Mexico trips to and from plants
- Project plan creation and execution for Executive events - arrange venue for large meetings, arrange hotel blocks for large meetings.
- Assistance with budget management, including bill paying, budget support and monthly budget analysis
- Report preparation to include monthly KPI's as needed
- Draft, review and send communications on behalf of company executive(s)
- Answer and respond to phone calls, communicate messages and information to the executive
- Maintain various records and document management for company executive(s)
What you bring
- Experience in administrative support, including with document management processes or systems
- Experience in MS office (Word, Powerpoint, Excel, Outlook), and/or SharePoint
- Strong ability to maintain privacy and confidentiality (understanding risk to the company, team and individuals)
- Strong ability to multi-task, prioritize, and manage high-volume of work, including supporting multiple individuals
- Strong ability to work independently, take initiative, and proactively communicate with your team
- Strong attention to detail and follow-through
- Strong sense of inclusion and teamwork
- Strong customer focus and interpersonal skills
- Flexibility to change as the business requires
- Desire to learn and share ideas with others
- Relationship building with key stakeholders
Added bonus if you have
- Experience supporting executives
- Demonstrated project management skills
- Power BI or Power Apps experience
- BPG Participation or Leadership, or community leadership experience (boards, associations, etc)
- Bilingual - Japanese
