Global Network Services (GNS) is the organization responsible for driving scale and coverage for American Express across the globe. The Global Product and Marketing team in GNS is responsible for igniting partner growth and expanding our brand relevance globally by harnessing the strengths of American Express to deliver innovative and impactful product and marketing solutions for partners.
This Administrative Assistant will be responsible for supporting 2 Vice Presidents in the GNS organization. The ideal candidate is an organized, resourceful, responsive, and forward-thinking colleague, who is adept at scheduling, coordinating calendars across markets globally, travel and expense management, along with other administrative responsibilities to support these leaders and their teams. Essential to this role is a passion for learning, a strong work ethic and demonstrated personal excellence.
Responsibilities
- Schedule/calendar management:
- Maintain Vice President-level calendars using a high level of integrity
- Arrange, confirm, and proactively manage meetings, including all related logistics (rooms, webex, documents, catering, etc)
- Proactively and independently review calendars for conflicts that might occur and make necessary adjustments
- Communication:
- Place, receive and manage high volume of emails and phone calls
- Exercise discretion in dealing with highly sensitive and confidential information
- Travel & Expense Management:
- Schedule and coordinate domestic and often complex international travel including flights, hotel, and ground transportation
- Coordinate necessary passport/visa documentation when needed
- Prepare travel and expense reports on a timely basis
- Team Collaboration:
- Actively participate in team meetings, managing organization charts, and maintaining team distribution lists
- Assist team and peers with process and calendar related questions and best practices
- Manage departmental assets, supplies & services procurement and other administrative support tasks
- Perform general tasks including, but not limited to, preparing correspondence, research requested information, prepare pre-meeting materials for review
- Other related projects and duties as requested
Qualifications
- Experience:
- Track record of success as an Administrative Assistant
- Excellent organization and prioritization skills with strong attention to detail and accuracy, particularly with calendaring
- Ability to manage multiple tasks efficiently and effectively while meeting deadlines
- Excellent communicator who is able to influence at all levels of the organization
- Demonstrated ability to exercise sound judgment, act independently, anticipate needs, and be resourceful
- Great attitude, positive energy and outlook
- Demonstrated personal excellence and strong work ethic with will-to-win
- Highly proficient with Outlook; Proficiency with Excel, Word, and PowerPoint a plus
- Knowledge of platforms such as Concur, Reserve, Cisco/WebEx, Ariba, Navigator, Payroll, and TechCare is preferred
Qualifications
Salary Range: $24.05 to $48.10 hourly + bonus + benefits
