Description: We are a fast-paced, high-growth boutique coaching and consulting firm. We provide services to mid-size companies focused on the top team (CEO + C-suite direct reports). We provide 1:1 multi-month coaching and quarterly team development offsites to create a strong, cohesive team at the top that creates an intentional culture and delivers exceptional business results. The CEO is looking for an Executive Assistant who enjoys being part of a growing company to support the CEO and work closely with a small but mighty team of coaches and consultants and our Operations Manager.

The Role’s Responsibilities Include: Email management, calendar/schedule management, booking travel arrangements, communication with clients on behalf of the CEO, administering client's assessments, reviewing vendor invoices to ensure accuracy, transcribing client meeting notes, online ordering of books or supplies, creating social posts, managing and tracking contract execution (for clients and team members), and sending gifts and cards. Managing LinkedIn webinar activities: registrations, participant tracking, follow up communications. You are able to respond to clients with little or no guidance using the voice of the CEO and no longer need to seek pre-approval or review of your emails before sending. You are comfortable administering various tasks such as assessments, email management, and travel arrangements. You receive feedback from the CEO and team, conveying confidence in your level of support and quality of work.
Time commitment: Estimated 10 hours per month initially, expected to increase to 15-20 hours per month in April 2024, and may increase over time with the growth of the business.
Compensation: $25-$40/hour, depending on Skill/experience level.
Who You Are: You are an experienced Executive Assistant with a professional background and experience working in an office/ corporate setting. You can “hold your own” and respectfully push back or share a perspective that the CEO may be missing. You understand a senior executive's time pressures and orientation and have previously worked in a corporate environment. You are detail-oriented, reliable, time accountable, stick to a scheduled time and/or promptly acknowledge if more time is needed to complete a task or project. You are resourceful, if you don’t know how to do it, you will find a way to do it. You have a passion for personal growth, fanatical attention to quality; you're open and receptive to others' ideas, and like to have fun while you work - making space for humor and laughter. You are tech-savvy with experience using different tools and applications. What you don't know, you'll figure out. You are learning-oriented, teachable, and eager to learn new things. You know the challenges that come with running a small business yourself and are eager to be the right-hand to this CEO.
Work Structure/Schedule: This is an independent contractor role, remote/virtual work, US-based only. Our selection process is approximately 4 weeks. We are targeting a start date by or before March 18, 2024. You are available Monday - Friday during our core business hours, 8:30 am - 4:30 pm MST. The CEO is responsible for providing project scopes, priorities, and time deadlines. You are responsible for managing your own work hours to meet deadlines on projects. There are occasions when our clients require a short turnaround time, and we commit to giving as much notice as possible to determine the feasibility of meeting these client requests.
