The HT GROUP is partnering with a wellness group, who is seeking an experienced and highly organized Executive Assistant to provide support to our CEO.
As the Executive Assistant, you will be responsible for ensuring the smooth running of the CEO's office and providing a high level of administrative support. The successful candidate will be proactive, able to work independently, and be a strategic thinker.

Key Responsibilities:
- In-person meetings: The EA will meet with the CEO regularly, in person, to review upcoming agenda and priorities, and may be asked to attend meetings to take notes.
- Travel arrangements and calendar management: The EA will be responsible for scheduling travel, hotels, and other reservations, as well as managing the CEO's calendar and ensuring they are aware of upcoming meetings and appointments. They will also be able to connect the dots and add preparation time as needed.
- Extracting and turning ideas into emails and slides: The EA will be responsible for extracting key information from the CEO and creating talking points and emails into the CEO's voice.
- Presentation and Canva/PowerPoint creation: The EA will be responsible for creating presentations from concept to completion, using software such as Canva or PowerPoint.
- Expense management: The EA will be responsible for managing the CEO's expenses, tracking receipts and submitting for payment.
- Social media strategy and content creation: The EA and CEO may brainstorm on social media strategy and create content.
- Supporting the Project Management team: The EA will be responsible for supporting a small and mighty team of Project Managers by tidying up presentations.
- Light accounting/bookkeeping: The EA will be responsible for keeping track of U.S. expenses and work closely with our U.K. Finance/HR person.
- Research on U.S. employee law: The EA will be responsible for staying up to date on employment laws and regulations in the U.S., ensuring company compliance with all necessary regulations.
Qualifications:
- Minimum of 5 years of experience in an Executive Assistant or related role.
- Strong interpersonal and communication skills.
- High level of discretion and confidentiality.
- Excellent organizational skills with the ability to prioritize and handle multiple tasks under tight deadlines.
- Strong attention to detail.
- Proficient in Microsoft Office Suite, Canva, and other presentation software.
