Home Franchise Concepts is an innovative multi-brand franchisor headquartered in Flower Mound, TX. The Corporate Executive Assistant is highly skilled and technically proficient to provide comprehensive support to our company executives in a dynamic and fast-paced environment. The ideal candidate will have experience working in a fast-paced environment with strong technical background, coupled with superb organizational and communication skills. This role requires a combination of leadership, project management, technical proficiency, and operational support to ensure effective management of Executive initiatives.

 

Essential Job Functions:

  • Provide high-level administrative support and assistance to the CFO, CHRO and/or other assigned leadership staff in the Flower Mound Office or who are traveling to the Flower Mound office
  • Arrange travel, lodging, dining, and transportation for executives along with providing itineraries
  • Manage executive calendars including scheduling and confirming appointments & calls
  • Facilitate all event coordination & planning for various meetings and events
  • Facilitates seamless communications between the executives and both internal and external parties
  • Manage expense reports for senior level team members
  • The Office Manager will oversee the general administrative function and activities of the Flower Mound office and ensure that the office operates efficiently and smoothly
  • Manage office operations providing oversight and guidance for special projects and strategic initiatives that often involved cross-functional resources
  • Develop processes and efficiencies for routine office management, supply ordering, etc.
  • Provide clerical support such as scanning, filing, sorting, and distributing mail
  • Maintain inventory of office and breakroom supplies and order new supplies as needed
  • Work with administrative staff to coordinate scheduling for Senior Leaders
  • Act as a back-up to other administrative staff and assist with special projects, as needed
  • Participate on special and confidential projects as needed, handling confidential matters and information
  • Make independent decisions, solve problems, and exercise discretion relating to the performance of day-to-day duties
  • Support Finance leadership requests, special projects, initiatives and various administrative tasks
  • Help coordinate the approval process for ad hoc franchisee promissory notes
  • Assist with getting appropriate approvals for new company issued credit cards or limit changes, and answering general questions (forgot my pin, etc)
  • Assist with expense reporting audit reviews for compliance and reconciliation checks for completeness
  • Produce or edit PowerPoint presentations (Board Decks) or excel spreadsheets for the team and get involved in other aspects of the team's functions such as collecting and tracking documents or cross-checking data against source documents
  • Assist with project management and various other coordination tasks across the company
  • Manage new employee onboarding process to include coordinating interview schedules, candidate travel, secure seating, procurement of supplies and company credit card
  • Manage building access cards system for new and existing employees

Qualifications:

        5-7 years experience performing complex executive assistant duties in a retail or comparable environment, with proven experience managing and prioritizing access to senior and executive levels of management required        Must possess organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Excellent verbal and written communication skills
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other related software
  • Ability to recognize discrepancies/errors in data/information and to respond to work errors in a professional manner, working collaboratively and cooperatively with others
  • Possess proficient analytical, problem-solving, and decision-making skills
  • The ability to handle sensitive and confidential information with diplomacy and discretion
  • Ability to work under demanding time constraints and production goals
  • Collaborative interpersonal skills, emotional maturity and the ability to build relationships with executives, stakeholders, team members and external partners
  • Consistently demonstrates a commitment to HFC policies and procedures, including but not limited to, attendance, confidentiality, conflict of interest, and ethical responsibilities.
  • Bachelor’s degree or higher
