We're seeking a highly motivated, detail-oriented, and organized Executive Assistant. Reporting to the Chief of Realm 4 Initiatives, the position provides a wide range of support, coordination, and liaison functions to members of the Dreamscape Learn leadership team. Coordinates multiple tasks simultaneously and performs complex administrative duties, often of a sensitive and confidential nature, in an incredibly fast-paced environment.
Dreamscape Learn (DSL) is a collaborative venture between Dreamscape Immersive and Arizona State University, merging the most advanced experiential pedagogy with the entertainment industry's best cinematic storytelling to deliver unique virtual reality (VR) and 2D labs and full course experiences which are demonstrably efficacious, readily scalable and emotionally engaging. These VR labs combine the emotional power of Hollywood storytelling, the visceral excitement of theme park rides, and an extraordinary mix of full body tracking and interactivity to create stories and worlds that push the limits of what is possible in virtual reality.
Essential Duties
  • Manages Dreamscape Learn executive calendars and high-priority activities to maximize efficiency, coordination, and follow through.
  • Coordinates executives' involvement in University events to ensure effective interaction with University staff, senior executives, leadership teams, and their constituents both internal and external to Arizona State University.
  • Coordinates Dreamscape Learn visits and demonstrations, including scheduling, ordering meals, and securing leadership presence as needed.
  • Manages the Dreamscape Learn bookings/emails via Salesforce Case Management.
  • Coordinates and arranges travel (domestic and international) including transportation, accommodations, travel reimbursements, preparation of background materials, follow-up and file documentation.
  • Serves as additional back-up support to the Associate Dean for Immersive Learning, Associate Dean of Learning Innovation, and Senior Director of Dreamscape Learn and Realm 4 staff, as needed.
  • Oversees student(s) that are part of the DSL leadership team.
  • Provides financial support including purchasing, expense tracking, and reimbursements.
  • Independently composes correspondence on a variety of subjects requiring judgment, originality, and knowledge of issues involved.
  • Represents Dreamscape Learn within the university and with internal and external visitors.
  • Coordinates or assists with coordinating events including scheduling, catering, sending invitations, external orders, and managing RSVPs.
  • Provides customer service to visitors, executives, and students as they relate to pod use and operations.
  • Assumes or coordinates other duties or projects as assigned or directed.

Minimum Qualifications
Bachelors degree in Business or field pertinent to work unit AND four (4) years of directly related administrative experience; OR, Eight (8) years of directly related administrative experience: OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

  • Evidence of a bachelor's degree or higher in a related field.

  • Experience working in a higher education environment.
  • Demonstrated knowledge of administrative principles and practices.
  • Experience in handling confidential, proprietary, and privileged documents and information.
  • Demonstrated knowledge of ASU policies and procedures.
  • Experience in planning, analyzing, and coordinating activities and establishing priorities.
  • Evidence of effective professional communication.
  • Experience in tact and diplomacy and in maintaining effective working relationships.
  • Experience in problem solving and decision making; evidence of organizational skills and flexibility; experience in proactively anticipating requirements and potential problems.
  • Demonstrated ability to manage multiple fast-paced, high-priority, frequently changing activities requiring considerable coordination and follow through to meet requirements.
  • Demonstrated knowledge of Microsoft Office Suite with emphasis on Outlook.
  • Demonstrated knowledge of Google Workspace Online Tools (Sheets, Slides, Docs, Etc.)
