The Kiewit Luminarium Marketing and Communications team is a dynamic and highly collaborative group of professionals who strategically integrate marketing, communications, membership, media, retail, and events for reputational and operational excellence together with a sense of belonging for all. The Events Coordinator will support the planning and hosting of events at Kiewit Luminarium that deliver creative and memorable experiences to clients, members, donors, and visitors. The position reports to the Events Manager and will work closely and collaboratively with the Experience, Partnerships, and Operations teams.
Key Responsibilities:
- Support the planning, design, and management of Kiewit Luminarium events, meeting event objectives, timelines, and budget requirements
- Assist Manager with event logistics and administrative tasks
- Provide excellent client service from initial inquiry through post-event evaluations
- Coordinate and support event set-up, tear-down, and follow-up processes (requiring regular evening and weekend availability)
- Use event management software and Salesforce to track event details and manage the use of spaces
- Help organize, track, and maintain event supplies inventory
- Liaise with vendors, event collaborators, and event staff
- Oversee event activities and act quickly to resolve problems
- Evaluate successes and opportunities for improvement
Experience & Key Competencies:
- BA/BS degree or equivalent work experience
- Minimum 2 years of direct experience with event coordination
- Cross-cultural fluency and ability to work with diverse groups of people
- Experience in project coordination, particularly in a public-facing organization or institution
- Strong interpersonal, communication, and writing skills with outstanding service orientation
- Excellent organizational skills with close attention to detail and ability to problem-solve
- Nimble with a knack for implementing innovative ideas
- Available to work weekends, holidays, and evenings
