We are looking for:
Advanced Systems Group LLC. is seeking an experienced Event Project Manager to join our high-performing Live Events team and support our client's Conference & Production Services team. This individual will coordinate live events for our client's internal employees, working on-location at our client's Santa Clara Valley campus.
You’ll collaborate with stakeholders to understand and define the needs of meetings and events while providing high-touch customer service. You will establish expectations and timelines to ensure parallel and independent work streams all implement simultaneously, seamlessly, and according to plan. This role requires wearing multiple hats to make things happen in a cost- and operationally-efficient manner.
Job Responsibilities:
- Coordinate internal meetings and events (in-person, remote, and hybrid) of various sizes, from intimate to thousands of attendees.
- Provide project management support to the team and department manager.
Take the lead throughout all stages of event lifecycles, including creative planning, vendor sourcing, site and accessibility planning, safety and emergency planning, guest journeys, staffing deployment, and budgeting.
Handle all aspects of event coordination, including space reservations, work orders for facility needs (e.g., furniture setups, janitorial, electrical, etc.), and potentially production coordination.
Lead customer-planning calls and drive the entire meeting or event lifecycle while coordinating end-to-end logistics, including event set-ups and onsite event oversight.
Act as the Facilities point of contact for events, pulling in partners for support and providing visibility on events.
- Prepare reports and decks for presentation to management, cross-functional partners, stakeholders, and customers.
- Liaise with a variety of departments, develop an understanding of business needs, identify gaps, recommend solutions, and craft execution plans.
- Support a variety of special projects and collaborate with the team to develop presentations and provide administrative support.
Qualifications & Experience:
- Bachelor's Degree in Communications, Marketing, or related.
- Expert event management knowledge.
- 5-7 years of demonstrated ability working in meeting/event/production coordinator or producer roles, working in a fast-paced, customer-centric environment.
Strong computer skills, including Apple software such as Keynote, Pages, Numbers, Calendar, and iOS.
Experience with scheduling software.
- Experience with vendor management and budgeting.
- Proven project management skills, including time management, dependency management, and risk management.
Refined communication skills: verbal, written, presentation, and listening.
- Ability to work on-site from our client's Santa Clara Valley offices from M-F from 8:30am - 5:30pm.
- Flexibility to accommodate the needs of events, including potential early mornings, late nights, or weekends.
Duration:
This temporary full-time role starts immediately and runs through September 30th, 2024, with potential for renewal or conversion.
Compensation & Benefits:This role is paid an hourly rate of $55-65/hr depending on experience.
