Job Description
We will hire 2 of these roles.
- 1 will manage the Keynote workstream & CXO speaking program workstreams, and other tasks as delegated
- 1 will manage the Analyst/Press speaking program, Partner speaking program, Training speaking program and other tasks as delegated
Event Producer 1 – Keynotes/CXO Speaking Programs
What You'll Do
- Oversees all aspects of the Keynote speaking program & CXO speaking program at WebexOne, along with other tasks as delegated
- Responsible for planning and production, including vendor management, content management, agenda updates and logistics
- Overall day-to-day project management of workstreams, creating the workback plan, overseeing timelines, budget execution, reporting, project change notices, keeping the keynote workstream contributors organized, facilitating collaboration and assisting with unblocking throughout the project
- Coordinates and leads weekly workstream status update calls with workstream contributors
- Responsible for creating, scheduling and managing all speaker prep meetings/ reviews/ rehearsals
- Responsible for coordinating all meeting space, F&B, calendar invites, AV, etc for in-person table reads and rehearsals
- Partners with program content lead on content development
- Coordinates presentation slides/graphics with creative team
- Provides input on overall event production schedule to Ops Lead
- Responsible for updating all workstream slides in WebexOne master walking deck
- Speaker Coordination: Engage your strong communication, coordination, and logistics skills when managing speakers: travel, contracts, and technical requirements; while ensuring proper and timely hand-off to the Production team (TD&EP).
- Technical Production: An educated knowledge of technical production (sound and lighting) is not necessary, but eagerness to learn is a must. Having worked side by side with an A/V company is a must, as well as the ability to work with and alongside Technical Production teams.
Requirements:
- Bachelors degree
- 5+ years producing speaking programs at live events (keynotes/ general sessions)
- Past experience in celebrity/C-level speaker event management is preferred
- Passion for and expertise in events, entertainment, personal development, speaker and/or celebrity events
- Can handle a high volume of demand leading up to and during the event
- Strong people skills. No one is a stranger and you understand how to connect with everyone, treating all with respect
- Willingness to travel 7-14 days to support event in-person
- Skilled in project management
- Ability to handle stressful situations in a calm, professional manner
- Demonstrated ability to manage vendors, crew, and site on large scale events
- Strong organizational skills, attention to detail, and ability to multi-task (spreadsheets and checklists are your best friend)
- Effective communicator with superb written and verbal skills, who can communicate clearly and professionally. Able to communicate easily when team members need help, check in with those that have experience on the team as a checks and balances type of process, and clarifying/verifying information to ensure the team is consistently pulling in the same direction.
- An independent problem solver who is solution oriented and takes initiative without being prompted
- Pitch in and are collaborative in nature with a "no job is too small” attitude
- Ability to maintain the highest level of professionalism and integrity when interacting with C-level executives, suppliers, attendees, speakers and talent
- Familiarity with Microsoft Office, Sharepoint, Smartsheet, Project Management tools
- Comfortable using Webex collaboration software as main communication tool
Event Producer 2 – Ancillary Speaking Programs
What You'll Do
