This role is instrumental in organizing and executing events that will showcase our innovative events and foster meaningful connections with our stakeholders.

Role Overview:

As an Event Coordinator at XMG, you will play a pivotal role in orchestrating events that are instrumental in driving awareness, engagement, and excitement. Exclusively, around Technology, Entertainment, and P. E. fundraising.

You will collaborate closely with our team and key stakeholders to plan, execute, and evaluate a wide range of events, including concerts, tours, product launches, conferences, webinars, and more. Your creativity, attention to detail, and exceptional organizational skills will be essential in ensuring the success of these events.

Key Responsibilities:

  • Event Planning: Plan and coordinate events, including defining objectives, budgeting, selecting venues, and managing logistics. Executing large-scale signature events.
  • Coordinating events across functional groups, maintaining timelines, and overseeing project management. Collaborating with other departments and agencies for high-quality event production.
  • Content Development: Collaborate with marketing and content teams to create engaging event materials and presentations.
  • Vendor Management: Liaise with vendors, contractors, and suppliers to ensure seamless event execution. Managing logistics to ensure flawless execution.
  • Promotion: Work with the marketing team to promote events and drive attendance through various digital channels. Cultivating relationships with city and state agencies.
  • Registration: Manage event registration processes and attendee lists. Analyzing event operations for improvements and guest satisfaction.
  • On-Site Management: Oversee on-site event logistics, ensuring everything runs smoothly.
  • Post-Event Evaluation: Conduct post-event evaluations to measure success and gather feedback for improvement.
  • Budget Management: Track and manage event budgets to ensure cost-effectiveness. Conducting post-event reporting and ROI analysis.

You will secure vital insight, structure the right business relationships and partner with some of the industry’s most admired A-B list talent and innovative vendors and solutions.

Defined Responsibilities

  • Effectively assist the Event Marketing Manager with developing, executing and managing all aspects of events from concept to completion.
  • Ensure the highest level of brand experience and uniformed to service for events attendees.
  • Research and gather appropriate location and other events venues
  • Contact and negotiate events schedule and cost
  • Sell programs to provide support as required
  • Must be a people person, able to build their network and rapport
  • Develop outside resources to help plan, execute and management events, such as organizations, campus brand ambassadors, sororities, etc.
  • Oversee the event-related activities of other internal teams, 3rd party staff, vendors, etc.
  • Lead projects, assesses annual business objectives, implements a calendar of live events that are focused on company specific industries.
  • Work with internal marketing, product, and other teams to develop a process for the logistics and execution of events
  • Perform project management to make sure goals and deliverable's for events are met
  • Work with marketing, PR and social media teams to promote events
  • Coordinate all trade show and event logistics including but not limited to show registration, booth layout, shipping, staffing, and vendor management.
  • Ability to work under deadline pressure and adapt to change
  • Familiarity with MS Office Suite (including Excel, Access and PowerPoint), Google Analytics, Twitter, Snapchat, Instagram, Facebook, LinkedIn, WordPress and other website administrative tools

Required Qualifications

  • Bachelor's degree in Marketing or related fields preferred
  • 5+ years’ experience in Events Management Is preferred
  • 5+ years’ experience in Marketing and Product Launch Is preferred
  • Extremely professional and strong communications skills area must
  • Ability to work with minimal supervision and meet deadlines Is a must
  • Willingness to travel to different parts of the country to oversee events Is a must
  • Social Media and Influence Marketing experience a plus
  • Strong research and project management skills are a must
  • A passion for health, fitness, and supplements a plus
  • Great organization skills, time management skills, and attention to detail
  • Must have reliable transportation
