Event Coordinator

Working under the Marketing Division, the full time Event Coordinator will make each VSM event, trade show, internal event and gathering consistently memorable, productive, efficient, and cost-effective. The Event Coordinator evaluates and negotiates with vendors, collaborates with the legal team in drafting service contracts and maximizes collaborative opportunities, while managing communications with attendees, speakers, and client stakeholders. The Event Coordinator will be responsible for providing leadership with a creative, business-driven mindset while creating lasting relationships.

General Responsibilities


  • 360-degree event planning and managing events of varying sizes, independently ensuring that every detail falls into place.


  • Collaborating with a myriad of departments while supporting an entire suite of promotion and copy tasks/campaigns to ensure year-over-year growth. Handle administrative tasks related to the promo event planning, including budget oversights, deadline coordination, and responding to questions from internal stakeholders and strategic partners.


  • Identify trends and insights, and help guide performance based on the insights. Brainstorm new and creative marketing and event strategies.


  • Use independent judgment to identify opportunities to adjust and revise event processes in order to increase efficiency and event ROI.


  • Prepare daily priority lists, weekly project status reports and project budgets.


  • Create follow-up surveys and feedback mechanisms to evaluate program effectiveness and gather participant insights.


  • Monitor program progress, track key performance indicators, and provide regular updates to stakeholders.


  • Conduct meetings to ensure that internal stakeholders are aware of looming deadlines.


  • Communicate potential problems to project teams and recommend solutions.


  • Performs other related duties as assigned.
