We are looking for someone who has experience in coordinating big events. The person for this role will works under minimal supervision as Event Coordinator to the Events Department in an environment conducive to multi-tasking. Provides administrative and project support to Events Department as needed. Performs variety of administrative and clerical functions as assigned.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
- Update and maintain Events files for each meeting in the Event Department Database.
- Coordinate Events crew database including data entries for all airline/ vehicle rental itineraries, and coordinates ground transportation for KCM crew to and from airport and hotel.
- Submit to Event Manager for approval all event reporting documents, including crew lists, vehicle rental list.
- Prepare crew/travel reports for crew packet posted on Event SharePoint site including Vehicle Rental List, Rooming List, Meeting Arrivals/Departure, Timesheets, Telephone Lists, Run of Events, Speaker Schedule, Dress Code, etc.
- Distribute parking passes, per diem checks, badges and event info to crew before and/or after the chapel prior to the event.
- Update Dropbox file with all meeting documents for Event Manager with all meeting and crew details.
- Assist in Overseeing Event Registration including: set-up / strike, conference materials printing & distribution. Track and report onsite registration and internet viewership information to platform.
- Coordinate, train and supervise volunteers & support staff.
- Required to assist with onsite registration at events.
- Provides onsite support to Event Manager during execution of Meetings.
- Process Purchase Requests, Material Stock Requests, Requisitions, Check/Reimbursement Requests, Expense Reports, and Credit Card statements, insure proper coding is applied. Submit to Event Manager for approval.
- Prepares and maintains the Annual Event Calendar and Speaker Schedule, informing KCM as details become available. Document used by all KCM departments.
- Reconcile Event Manager's & Personal credit card statements through the Concur system.
- Stocking and preparing the registration road cases to meet truck load dates.
- Compile, request and communicate crew vehicles according to needs entered in the event database ( also code the bills but that task falls under another bullet point).
- Compile, request and communicate crew per diem, expense and mileage according to needs entered in the event database and ministry's policies
- Collaborate with Event Manager on design needs and request in Basecamp. Submit designs to Event Manager for approval and work with printer for optimal pricing and to meet the truck load deadlines.
- Other duties assigned.
JOB REQUIREMENTS:
Education:
- High School Diploma
Experience:
- Two years' experience in church/ ministry administration, preferred.
- Two years' experience in meeting/ conference planning preferred.
- One-year experience in project management field or related field preferred.
Skills/Abilities:
- Experience in meeting / conference planning preferred.
- Interpersonal skills necessary to deal courteously and effectively with a wide range of contracts.
- Able to resolve problems, handle conflict and make effective decisions.
- Flexible and responsible to dynamics of the department.
- Understanding of Project Management principals and processes.
- Proven ability to multitask and problem solve.
- Skilled administrator with decision making skills.
- Excellent written and verbal communication skills.
- Excellent telephone etiquette and public relations skills.
- Highly detailed oriented, able to work independently and deal with confidential information.
- Typing 40 wpm preferred.
- Proficient in basic Office programs i.e. Excel, Word, and Outlook etc.
SUPERVISORY RESPONSIBILITIES:
- Temporaries, Volunteers & support staff.
EQUIPMENT TO BE USED:
- Computer, copy machine, fax machine, telephone.
TYPICAL PHYSICAL DEMANDS:
- Able to sit at a computer for up to 9.38 hours per day.
- Able to stand and / or walk for extended periods of time.
- Must be able to travel via air transport for KCM meetings.
