Job Description:
As an Event Assistant, you will play a pivotal role in ensuring the seamless execution of various events organized by our company. Working closely with our event management team, you will be responsible for assisting in all aspects of event planning, coordination, and execution. This role requires a proactive, detail-oriented individual with strong organizational and communication skills.
Key Responsibilities:
Pre-Event Preparation:
Assist in researching venues, vendors, and suppliers for events.
Aid in creating event timelines, schedules, and checklists.
Coordinate logistics such as transportation, accommodations, and equipment rentals.
Assist in preparing materials and supplies for events.
On-Site Support:
Provide on-site support during events, including setup, registration, and guest assistance.
Liaise with vendors, suppliers, and venue staff to ensure smooth operations.
Assist in managing event flow and addressing any issues that may arise promptly.
Act as a point of contact for guests, addressing inquiries and providing assistance as needed.
Post-Event Activities:
Assist in post-event evaluations, gathering feedback, and analyzing event success.
Aid in post-event cleanup and return of equipment and supplies.
Assist in preparing post-event reports and documentation for clients and internal use.
Requirements:
Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
Strong attention to detail and problem-solving abilities.
Excellent communication and interpersonal skills, with the ability to interact professionally with clients, vendors, and team members.
Ability to work well under pressure and adapt to changing priorities in a fast-paced environment.
Proficiency in Microsoft Office Suite and event management software is a plus.
