Epic EHR Site Specialist (ESS)
We are on the lookout for an Epic EHR Support Specialist (ESS) to join our team! We are currently in the process of transitioning electronic health records from eClinical Works to Epic, with a go live date this Spring.
FLSA status: Hourly & non-exempt
Hours/week: 32- 40 (Full time during first 6 months of employment and implementation, then closer to 32 hours/ week.)
Location: Home site is Winters, CA, with some travel to Esparto, CA

As an ESS with Winters Healthcare, you would be a key member of the team for implementing Epic! You will partner with current key employees and OCHIN technical staff to implement and understand workflows, make configuration/design decisions, clinical policy considerations, and assist with coordination. As an ESS, you will help build Epic specific to what we need as an organization, such as creating new Epic users, provider records, fee schedules, letter templates, connecting and troubleshooting printers and workstations, as well as supporting your colleagues. Following implementation, the ESS will be the go to person for any issues or support that is needed with Epic, including employee training and ongoing maintenance.
The ideal candidate has a background in IT and experience with EHRs; they are a problem-solver, comfortable with troubleshooting EHR and technical issues, and comfortable working alone as well as in a team.
Essential Functions
- Communicate and collaborate in a team-oriented environment supporting our model of care.
- Participate as a key member of the implementation of Epic application for Winters Healthcare.
- Partner with OCHIN technical staff to test printing and Order Transmittal from every workstation.
- Work collaboratively with IT to coordinate set-up and testing of hardware, printing, and workstation configuration.
- Provide training to current and new employees during implementation, as well as on-going.
- Identify, assess, and troubleshoot application and equipment issues as they occur, seeing it to full resolution.
- Within Epic, create new users, provider records, fee schedules, templates, etc.
Qualifications:
- Associate degree in health information technology/health information management or equivalent experience working with electronic health records (EHR); Epic preferred.
- Experience working in a medical setting, preferably an FQHC.
- Must be flexible, organized, and tech-savvy.
- Ability to problem-solve, prioritize tasks, and schedule accordingly.
- Must be comfortable with Electronic Health Records and troubleshooting when issues come up.
- Ability to travel to second site in Esparto for employee support and printer troubleshooting.
Hours:
- This position is to start out as full-time at 40 hours per week through July 2024, and must be performed within our operating hours. After full implementation and go-live of EPIC, hours will likely be around 32 hours/ week.
Compensation and Benefits:
- Hourly wage range is $23.50 - 34.75/ hour and is dependent on experience

Essential Functions

Implementation
- Support the successful implementation of Epic applications at the clinic.
- Participate as a key member of the implementation team(s) to understand workflows, configuration/design decisions, and policy considerations, and to assist with project coordination and site readiness.
- Partner with OCHIN technical staff to test printing and Order Transmittal from every workstation.
- Work collaboratively with IT to coordinate set-up and testing of hardware, printing, and workstation configuration.
- Participate in the build of EPIC specific to WHF; this may include, but not limited to, creating new Epic users, provider records, preference lists, fee schedules, letter templates, workstations, and printers.
- Support the planning and facilitation of training sessions including Epic, OnBase, and Gateway.
- Provide support for users using the Learning Management System (LMS).
- Learn the application to assist the OCHIN trainers in supporting end-user training for go-live on May 14th
- Participate in order transmittal testing prior to the dress rehearsal.
- Provide user support for dress rehearsal.
Go-Live and Ongoing Support
- Provide direct support to clinical operations and patient care teams to facilitate the introduction, acceptance, integration, and optimal use of the Epic application in the clinic.
- Collaborate with clinic leadership and users to identify opportunities for efficiencies in clinic operations, clinical practice support, and improved health outcomes.
- Provide daily support to Epic applications users through troubleshooting, coaching, and consulting.
- Identify, assess, and troubleshoot application and equipment issues as they occur, owning the problem and seeing it through to full resolution. Will refer issues that require additional assistance from IT or OCHIN's Help Desk, including technical and workflow information necessary to resolve the issue.
- Maintain member-managed system setup such as preference lists, SmartPhrases, and Provider master Files for the service area
- Manage error queues and In Basket pools established for member organization.
- Work with established EHR processes and collaborate with providers to manage requests for
- Management and additions of diagnoses and procedures codes to the system.
- Requests for additional system-level charting tools from the review process through follow-up communication to users. Coach the user through creating their own SmartPhrases.
- Additional clinical workflows
- Collaborate with OCHIN and member oversight or advisory workgroups to optimize use of the system through implementation of new Epic PM and EMR features and upgrades.
- Collaborate with OCHIN to test new features and upgrades prior to implementation.
- Attend appropriate clinic department meetings as Epic expert and as OCHIN liaison.
Training
- Demonstrate outstanding interpersonal communications skills and adult teaching techniques.
- Coordinate and provide all necessary training to new clinic staff and providers, coordinate issuance of ID and password, and provide go-live support according to established processes.
- Provide competency/efficiency training for existing users.
- Support upgrade training in collaboration with OCHIN and Member organization.
- Coordinate with clinic leadership and appropriate staff for meetings to discuss interest-raising, problem-solving, or training topics, and provide expertise and support to the team.
- Collaborate and coordinate with OCHIN and internal teams, including Help Desk, to translate learnings and experiences into documentation, training aides, and other materials.
Other Opportunities/resources for ESS:
- Attend monthly OCHIN Site Specialist meetings with peers for best practices, information sharing to and from OCHIN PM/EMR/IT resources, continuous training, and sharpening of support skills.

Minimum Requirements:
Education and Work Experience
- Associate degree in health information technology/health information management or equivalent experience working with electronic health records (EHR); Epic preferred.

- Knowledge of clinical and operational workflow and technology needs in an FQHC setting.
- Strong understanding of HIPAA and its application in outpatient practice.
- Knowledge and practical experience using technology to support patient care.

Additional Desired Qualifications:
- Current CPR certification
