The Department of Environmental Sciences in the College and Graduate School of Arts & Sciences seeks a Department Finance and Administration Manager (Unit Administrator 2) to embrace and practice departmental values of environmentalism, diversity, honesty, and teamwork. This position will provide a range of complex services, including financial work such as accounting and budgeting, partner with human resources, assisting with the department curriculum budget plan (CBP), and providing direct departmental support. In addition, this position is responsible for financial oversight of the Environmental Thought and Practice Program (ETAP) and the Anheuser-Busch Coastal Research Center (ABCRC) in Cape Charles, VA.
This is a hybrid position that requires a minimum of 3-4 days per week in the office.
Duties and responsibilities include:
- Plan departmental budget needs by analyzing short- and long-term program plans.
- Annual budget and provide financial forecasts. Complete all related University requirements and submittals, adhering to department and institutional standards and timelines.
- Advise department chair and staff members on budgetary and related problems.
- Serve as a representative for the department in wider institutional finance initiatives.
- Serve on committees and attend standing meetings representing the interest of the department.
- Participate in training sessions to keep apprised of changes in policy and procedures.
- Advise faculty and staff on financial matters as needed.
- Approve purchase orders, expense reports, accounting adjustments, account certifications, payments, and journal entries.
- Partner with HR on a variety of human resource activities including recruitment, classification and compensation analysis, employee relations, advising on faculty HR policies and procedures and answering HR questions across employee types.
- Enter payroll costing allocations, period activity pays, payroll accounting adjustments, hire temporary employees and wages students.
- Request funds from Alumni to fund departmental initiatives and identify fund sources.
- Develop and distribute financial reports for local, gift and endowment accounts using excel.
- Review cash balances periodically to ensure optimization of cash.
- Monitor cash deficits and work with stakeholders to address and clear accounts.
- Monitor the expenditures in assigned worktags to ensure adherence to budget allocation and spending guidelines, making corrections as needed.
- Supervise three direct reports, train, and mentor staff.
- Disseminate information to departmental faculty and staff as needed.
- Excellent people skills with the ability to collaborate across institutional boundaries as a liaison and leader.

MINIMUM REQUIREMENTS
Education: Bachelor's degree
Experience: Four years of increasingly responsible management and administrative responsibility is required. Two years of supervisory experience is required. Relevant exempt level experience may substitute for a degree.

PHYSICAL DEMANDS
This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
