Job description

Under the specific direction of the Registrar, the Enrollment Coordinator maintains accurate and up-to- date records for all current students by monitoring and reporting graduate and undergraduate student enrollment information, including community college exchange programs, and changes in student status. The position serves as the coordinator for enrollment reporting to the National Student Clearinghouse (NSC), processes verifications of enrollment to outside agencies, assists in the preparation for the MHEC I-6 Enrollment Audit, assists in providing enrollment information for the Financial Aid audit, and works closely with the Offices of Accounting, Financial Aid and Institutional Research. As a team member of the Registrar's Office, this detail-oriented individual delivers high quality customer service to internal and external customers, and provides registration and records support as the first point of contact in the Registrar's Office to the College community.
Essential Duties include the following. Other duties may be assigned.
Records Management and Reporting (40%)

  • Coordinates, monitors, and reports on enrollment to the National Student Also reports on degree completion information to NSC. Resolves errors on transmission data as needed.
  • Manages PowerCampus database to ensure accuracy of enrollment data and performs on-going reviews of data. Coordinates with IT to streamline enrollment reporting processes and create technical solutions.
  • Provides enrollment information to armed forces personnel (in accordance with the Solomon amendment), other outside agencies, and processes individual requests for enrollment
  • Produces reports related to enrollment and assists the Registrar in compiling the annual MHEC I- 6 Enrollment Audit, monitors the return of class rosters, communicating as needed with faculty members to verify and/or resolve data discrepancies.
  • Assists the Financial Aid Office with their annual audit by providing information, enrollment evidence and reports on enrollment.
  • Represents the registrar's office on campus wide committees, such as Students of Concern, Retention, and diversity, equity, and inclusion initiatives.

  • Coordinates with the College Primary Designated School Official (PDSO) to manage and report on F1 undergraduate enrollment.

Registration and Retention Activities (30%)
  • Oversees all registration processes, including internships, waitlists, prerequisite checks, course withdrawals, audits, repeat course checks, and drop/add changes, ensuring data integrity and
  • Works as a liaison with the Accounting Office to ensure appropriate tuition coding for various student populations.
  • Processes registration requests for dual enrollment and non-degree seeking
  • Processes undergraduate readmission requests, withdrawals, leaves of absence and changes of status, and notifies appropriate offices in a timely manner.
  • Manages study abroad, study away and coastal studies
  • Serves as liaison for the Hood/Community College Exchange Program, communicating with participating college personnel to ensure the accuracy of Coordinates grade reporting to appropriate institutions.
  • Compiles and maintains accurate lists for Honors
  • Coordinates with Student Success office staff on outreach to unenrolled
  • Oversees record/transcript/registration holds and communicates with appropriate offices as needed to facilitate the removal of stops.
  • Serve as a back up to process updates of student records (name, addresses, telephone numbers, declaration of majors, advisers, all changes of status).
  • At peak times, assists in the processing of
  • Provides appropriate lists and reports for other academic offices to facilitate student success and retention.

Customer Service and Office Support (30%)
  • Serves as the first point of contact to the College community by providing quality customer service to students, faculty, staff and other visitors to the Registrar's Office.
  • Maintains archive of student records and ensures that records remain confidential as per the Family Education Rights and Privacy Act (FERPA).
  • Ensures compliance with all federal, state, and local laws and regulations as they pertain to the work of the Registrar's Office.
  • Manages archived student files, following AACRAO guidelines for timing of storage and destruction of old files. Also manages catalog and commencement program archives.
  • Provides back up support for other office tasks, including record

Regular work schedule is Monday - Friday, 8:30 a.m. - 5 p.m. Evening or weekend work could be required to meet season demands of the Registrar's Office.

Education and/or Experience Minimum Requirements/Qualifications
  • A bachelor's degree and three to five years of experience working in higher education; or equivalent combination of education and experience working in a Registrar's Office at a college or university is preferred.
  • An individual must be highly organized, be able to prioritize tasks, work well as part of a team and also independently, have strong situational awareness, communicate effectively and accurately, and maintain confidential student records.

Technology Skills
Proficient in MS Office tools (Microsoft Word, Excel, PowerPoint, Access, and Outlook), e-mail and Internet. Ability to learn new applications quickly including organization-wide information systems and department-specific software applications. Strong proficiency in using a student information system (PowerCampus preferred) and video conferencing. Experience with website updates and form management a plus. Attention to detail and accuracy is essential. Experience with enrollment reporting and the National Student Clearinghouse is a plus.
Language Skills
Strong oral and written communication skills. Ability to effectively provide information and positively respond to questions from both external and internal customers both in person, by phone, and via email. Ability to write routine reports and correspondence.
Mathematical Skills
Proficient with statistical and financial concepts. Must have the ability to apply those concepts to tracking, projections, goal setting and interpreting reports. Ability to work with and apply basic mathematical concepts accurately, either manually or by using a calculator.
Reasoning Ability
Ability to solve practical problems and deal with a number of concrete variables in situations where only limited standardization or information exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Ability to work independently and as a member of a group in developing and executing project plans. Ability to work in theoretical arena and apply logic as appropriate. Ability to ask questions to gauge what a student may need help with.
