Overview 

With a 12-year history and a program that has been recognized for best-in-class quality, City Teaching Alliance is looking to significantly grow  with a specific emphasis on growing the number of aspiring Black and Latinx teachers in the program - and increase their reach and impact over the next decade. To contribute to that effort, the Enrollment Coordinator is responsible for supporting the confirmation and cultivation process at City Teaching Alliance, as well as supporting candidates through the enrollment process once they accept an offer to the City Teaching Alliance program. This includes maintaining systems to track testing and graduate school enrollment for the incoming cohort, and ensuring that incoming participants meet the admissions requirements for City Teaching Alliance's graduate school partner.


The Enrollment Coordinator will support candidate enrollment, including entrance exam testing support and oversight and execution of admissions incentives programs. The Enrollment Coordinator shares responsibility for meeting all annual goals around participants who receive offers, sign their Letters of Intent, and show up at Summer Institute.

 

The ideal candidate will have a passion for our mission, vision, and values, and is excited to help ensure that the enrollment and cultivation processes exemplify our mission and our deep commitment to anti-racism. Additionally, the ideal candidate will have had experience with compliance and enrollment management, and is someone who enjoys “behind the scenes” work (with some candidate facing candidate communications).

 

Responsibilities 

 

The primary responsibilities include, but are not limited to, the following: 


Testing and Enrollment Materials:  

  • Lead the testing process for high volume regions, including developing testing plans for all incoming participants and tracking exam completion to ensure all incoming residents can prepare and complete exams successfully
  • Create site-specific entrance exam resources including test preparation materials, candidate-facing infographics and presentations 
  • Provide candidates with testing supports (vouchers, study materials, and other resources) as needed and in partnership with our BEI and Admissions teams
  • Determine and implement strategies to address non-responsive candidates and testing outliers 
  • Support the conditional admit process as needed
  • Build system to collect final transcripts from admitted applicants to deliver to each site for certification requirements
  • Manage all candidate communication and reminder strategy to ensure all candidates have submitted an official transcript before Summer Institute begins


Graduate University Partnership:

  • Coordinate with graduate school partner to ensure all residents are accepted and enrolled into their program of study 
  • Provide graduate school partner with all enrollment materials and transcripts for incoming candidates
  • Act as a liaison between our graduate partner and the City Teaching Alliance cultivation team to ensure the cultivation team and candidates have accurate information about deadlines, required actions, and financial aid supports


Candidate Finances and Incentives

  • Lead oversight and execution of admissions incentives program (i.e swag distribution, etc.)
  • Partner with teams across the organization to ensure all eligible candidates receive a signing bonus in a timely manner
  • Work with the City Teaching Alliance Finance team to collect funds from any candidates withdrawing from the City Teaching Alliance program


Budget and Data Management: 

  • Manage candidate testing and enrollment data in Salesforce, ensuring testing and cultivation data is clean and accurate
  • Audit testing and enrollment data for accuracy regularly, in partnership with regional teams
  • Manage and track cultivation and testing expenditures for budget 
  • Build and maintain effective tracking systems to track all accepted participants through the testing, enrollment and cultivation process
  • Process all expense, reimbursement, and selector payment requests across the City Teaching Alliance Admissions team


Admissions Team Support: 

  • Assist in reviewing applications for prospective candidates
  • Complete candidate interviews as part of the selection process 
  • Help manage the applicant facing inbox and other applicant communication channels 
  • Support recruitment efforts as needed throughout the season 
  • Positively contribute to and help shape a healthy and thriving team culture
  • Commit to anti-racist behaviors and actions 


Target Start Date:  January 8, 2024


Location:  Remote with preference given to applicants that reside in Maryland, DC, Dallas, Philadelphia

 

Time Commitment & Compensation:  $55,486 & is subject to a geographic differential which could increase or decrease it by 4% or 8% depending on the city of residence. We are an anti-racist organization that prioritizes equity so we do not negotiate salaries. 

 

Qualifications:   

    • Bachelor's degree from an accredited institution 
    • Strong written and verbal communication skills 
    • Experience with customer service or candidate communication 
    • Proficiency in Microsoft Office products 
    • Ability to manage large scale projects and competing priorities
    • Results oriented and motivated by clear goals 
    • High degree of attention to detail and operational excellence 
    • Ability to keep track of a significant amount of data and information across multiple systems 
    • Self-directed and self-starter who is comfortable operating in grey space and maintains a high degree of personal responsibility 
    • Ability to work remotely and as a part of a remote team and manage close working relationships with regional site teams 
    • Willingness and ability to attend selection events in the evenings and on the weekends 
    • Experience working with Salesforce and Box document storage platform preferred
