Donor Support Specialist
GENERAL PURPOSE OF THE POSITION:
The Donor Support Specialist will support core administrative and operations functions of the Development team . The position is responsible for revenue entry, donor data quality and entry, providing project and administrative support to the Development team, and ensuring donors receive timely and helpful responses to inquiries. The Donor Support Specialist will develop and maintain positive relations with all staff, consultants, and donors while in a highly collaborative role to accomplish key projects through teamwork.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Development Operations Support
- Adhere to check handling processes to complete revenue entry and data entry for cash and in-kind gifts from donors, logging information into organization’s CRM (Salsa).
- Proactively ensure donor and partner data are entered into Salsa correctly, are updated at regular intervals, and that constituent records include relevant coding and notes per each development function’s processes.
- Assist fundraising staff to enhance their abilities to generate revenue by maintaining accurate donor, prospect management, and revenue records in Salsa. Collect and disperse data necessary to advance Development projects, strategies, and goals.
- Work with the Director of Development and Communications to create and run accurate, timely metrics reports for each revenue channel. Execute data quality audits and corrections based on report results.
- Maintain processes and procedures for Development tasks and functions, ensuring all team members are consistently following agreed upon processes.
- Support post-award management processes in close collaboration with the Chief Operating Officer; serve as liaison between fundraising and program staff.
- Donor Relations Support
- Ensure a timely gift acknowledgment process is in place and working smoothly throughout the year.
- Maintain donor call log and coordinate expressions of donor gratitude with staff and volunteers (thank you calls, handwritten notes, thank you letters, bulk mailings, invitations, newsletters)
- Act as a team player in supporting successful fundraising efforts through digital and mail appeals, events, major gift solicitations, and institutional proposals.
- Assist in routing inquiries from donors, companies, and foundations interested in partnering or in-kind giving, via phone or emails. Maintain working knowledge of the various programs and departments within the organization.
- Help with research gathering and data input on potential prospects, current prospects, foundations, and/or corporations.
- Support the creation of a fundraising culture among staff and board by modeling professional, helpful, and timely correspondence and interactions with donors, ensuring donors have great experiences with the organization.
- Attend and participate in regularly scheduled meetings
DESIRED MINIMUM QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. - 3+ years experience with and aptitude for relational databases; strong database skills, including high-level data entry, tracking and analyzing data. Knowledge of fundraising CRMs is required!
- Strong computer skills, including proficiency with Google and Microsoft products, word processing, spreadsheets, mail merge and advanced analytical functions.
- Familiarity with all aspects of nonprofit fundraising.
- Ability to work independently in a deadline-driven environment; successfully manage multi-functional projects, priorities and timelines with minimal supervision; follow-through and attention to detail.
- Strong interpersonal and communications skills.
- Excellent time and project management skills.
- Strong commitment to working in animal welfare (experience preferred)
