JOB TITLE: Documentation Control Specialist

REPORTS TO: Victor Hester
SUMMARY: Manages and maintains all documents related to the company. The selected individual will implement Document Control procedures, organize and maintain documents, and ensure that all documents are up to date and accurate. Will also be responsible for proper archival and disposal as necessary.
DUTIES AND RESPONSIBILITIES:
- Develops, implements and maintains a Document Control process that allows efficient and correct access to documentation files, both physically and digitally, as required.
- Organize and maintain company documents.
- Ensure that all documents are up-to-date and accurate; properly archives and disposed of, as required.
- Tracks and coordinates documentation change requests, from approval through implementation.
- Coordinates with other departments to ensure document consistency and accuracy.
- Provides training and assistance to employees in the use of the Document Control systems and procedures.
- Performs other related duties as assigned by management.
- Implements back up policies and procedures
- Goal is to have a system that allows anyone to find anything quickly and efficiently
QUALIFICATIONS:
- Preference of a Bachelor’s degree (B.A.) in related field or equivalent.
- Two to four years related experience or equivalent.
- Experience with document management software systems and proficient with MSWord, MSExcel, Adobe.
- Excellent ability to communicate effectively and clearly both verbally and in writing.
- Commitment to excellence and high standards.
- Excellent grammatical and spelling skills.
- Strong organizational, problem-solving, and analytical skills.
- Versatility, flexibility, and a willingness to work within a fast-paced environment with enthusiasm.
- Ability to work on complex projects with general direction and minimal guidance.
- Ability to work independently and as a member of various teams and committees.
- Proven ability to handle multiple projects and meet deadlines.
- Creative, flexible, and innovative team player.
Compensation and Benefits:
Location: In Person: OSS Headquarters in Escondido CA
Salary Range $55,000 to $95,000
The range is specifically for those potential hires who will work in the CA location. Any offered salary is determined based on relevant factors such as applicant's skills, performance, job responsibilities, prior relevant experience, certain degrees and certifications and market considerations.
