SUMMARY
The Distribution Services Specialist will support the functions of the Transfer Agency Department. Additionally, this role will maintain relationships between Ultimus mutual fund clients and the financial intermediaries trading our partner funds.
KEY ACCOUNTABILITIES
INTERMEDIARY AGREEMENTS
- Assists in executing standard dealer agreements and processes them according to the workflow that is in place.
- Files agreements that are executed and maintains relevant databases to archive agreements.
- Provides reporting to trust boards, clients, and internal colleagues.
- Assists in resolving any questions or issues clients or dealers may have related to agreements.
- Reviews intermediary invoices for accuracy.
- Calculates allocations between fund expenses and advisor expenses, when necessary.
- Assists in resolution of unpaid invoices or invoices that require follow-up.
- Assists in maintaining the UDA website, specifically intermediary requirements, and pricing.
- Provides support for the UDA Shared Events program, as necessary.
- Assists in the uploading of client data to DTCC MFPS Profile II database.
- Assists in the development and implementation of new services.
- Contact as needed with clients regarding general information, resolution of issues, inquiries, or reporting requirements.
- Contact with members of team and internal teams regarding follow-up on inquiries, open workflow, etc.
EDUCATION AND EXPERIENCE
- Bachelor’s degree in business administration or related field.
- 1-3 years of experience in client services or a related field.
- Experience within the financial services industry.
- Sound knowledge of the financial industry.
- Microsoft Office Suite.
- Adobe Acrobat.
- Client service skills with an aptitude to understand the clients’ business and maintain strong client relationships.
- Troubleshoots issues utilizing creative and critical thinking skills.
- Multitasking, analytical, and organizational skills.
- Initiative-taking, strategic, and meticulous approaches with a strong commitment to quality, efficiency, and effectiveness.
