Director of Maintenance and Procurement
Reports to the President, McCormack Baron Management (MBM) Date Written or Revised: March 11, 2024
FLSA: Exempt
Location: Hybrid position/Downtown St Louis or Remote
Position Overview
The individual filling this role will report to the President of MBM and provide support, oversight, and policy direction to the communities regarding their physical operation. This role involves developing and implementing strategies to ensure the efficient operation of facilities and equipment. The Director of Maintenance and Procurement also leads the procurement process, including sourcing suppliers, managing cost-effective measures for community efficiencies with vendors, utility providers, and owners, monitoring agreements, and managing vendor relationships.
Additionally, this position involves budgeting, forecasting, and monitoring costs related to Maintenance and Procurement activities.
Key Responsibilities (Essential Duties and Functions)
This list of duties and responsibilities is not all-inclusive and may be expanded to include other duties and responsibilities as management may deem necessary based on business needs.
Leadership
• Lead the maintenance on call service team. Responsible for all aspects of leadership, including, but limited to, interviewing, hiring, training, coaching, and terminating, where appropriate.
• Foster a positive, and responsive department culture. Inspire and motivate the service team to provide resident focused, customer service through timely service ticket processing and service deployment for sites.
Capital Improvements
• Collaborate with the Director of Facilities Management, VPs and President in the development of the annual capital budget.
• Create capital plans based on site inspections annually which propose capital improvements and replacements for the upcoming year and create 5 to 10-year plans.
• Work with the facilities team to develop specifications and select contractors after budget approval. Any major capital work (exceeding $25,000) shall be approved by the Director of Maintenance and Procurement and coordinated with the Facilities team and VP, with the site staff's cooperation.
Casualty Loss
• Coordinate with the community team, RD, VP, and facilities on any repairs necessary due to a casualty loss at a site.
• Work with the McCormack Baron Management Risk Manager and any insurance adjuster in determining the value of the loss. Oversight, coordination, and follow-up on remediation timeline through completion of repairs. Gain approval for capital settlements.
Preventive Maintenance/Operating and Maintenance Plans
• Partner with the Director of Facilities Management and Area Maintenance managers to develop a preventive maintenance program that seeks to extend the useful life of the physical components of the site and minimize emergency repair/replacements.
• Establish ongoing schedules for site staff with the Director of Facilities Management, based on required operating and maintenance plans and best practices in the property management industry. When a capital replacement/improvement occurs, a new schedule will be created.
• Review established schedules not less than annually with the Director of Facilities Management to ensure no revisions are required and all requirements are being met.
• Coordinate the incorporation of this schedule into McCormack Baron Management's work order system.
• Ensure that all communities are following all safety guidelines concerning OSHA, EPA, and McCormack Baron risk management procedures.
• Responsible for all necessary measures to ensure properties operate in compliance with all local, state, and federal laws including but not limited to, Fair Housing and HUD.
Bulk Purchasing/Utilities
• Collaboration with the Director of Facilities Management, VPs to create economies of scale where applicable in the bulk purchasing of items used in the operation of the sites. This includes goods and services. Items to be included but not limited to are carpeting/flooring, appliances, paint, trash removal, maintenance products, janitorial products, elevator service, etc.
• Develop new supply sources where vendors are inadequate.
• Work with the Director of Facilities Management, VPs, Financial Analyst and sites in reviewing utility costs, developing utility budgets, and seeking methods by which utility conservation measures can be implemented.
Other
• Assist in the due diligence relating to properties to be acquired.
• Assist in the start-up of new sites.
• Interact with Development in the establishment of standard construction and design specifications.
• Provide input into maintenance staff evaluations.
• Coordinate with the facilities team and oversee processes regarding any N Spire, REAC, or other physical inspections required at the communities.
Qualifications and Skills
• Strong leadership skills, excellent project management abilities, and a background in Maintenance and Procurement operations. Experience in the Property Management field is preferred, but not required. Working knowledge of Yardi is a plus.
• 5+ years of supervisory maintenance experience or experience in a related field. Experience in managing maintenance operations, overseeing procurement processes, and negotiating contracts is required.
• Strong leadership skills and the ability to provide guidance, direction, and support to community teams and department leaders.
