Job description

As a front-line customer facing representative, the Director of Events with Cara Irish Pubs is expected to have a friendly and “can do” attitude, be hospitality driven, and possess a good grasp of technology and how it’s used to enhance the guest experience, drive new sales, and provide for optimal efficiency throughout the Event Planning process.

The Director of Events will be responsible for all aspects of the sourcing, booking, and planning of private events at three local restaurants, including but not limited to: employee communication, physical planning, implementation plans, menu coordination and development, marketing, sales, financials, money security, general business development, training, cost controls, guest & employee satisfaction, and networking with outside organizations.

The Director of Events should be self-motivated, hands on, and able to lead and inspire our Team Members. Most importantly, the Events Manager needs to be a role model to continue to raise the bar every day for themselves, our team, and our restaurants, underscoring our mission, vision, values, and the unique and friendly culture of each of our restaurants.

Duties and Responsibilities:

  • Maintains an in-depth knowledge of facilities, menus, vendors, and operations as they pertain to catering and sales to keep the venue the best in class and highly competitive to drive volume and market position.
  • Solely responsible for generating revenue to meet company goals through Private Event bookings at three restaurants.
  • Follows up on assigned inquiries concerning catered functions, consistently communicating policies, procedures, pricing, and contract specifications to clients for catered functions.
  • Plans and coordinates event details such as space requirements, time schedule, food service, and event design with clients and with facility department heads.
  • Serves as event coordinator and/or convention advisor during events to minimize confusion and resolve problems, such as space adjustments and additional equipment needed.
  • Continuously provides clients with up-to-date estimates on contracted food, beverage, and services recommending best possible choices within their budget to ensure a first-class catering event and to encourage repeat business.
  • Accurately and succinctly review event information at interdepartmental meetings.
  • Arranges and oversees client tastings to ensure culinary and operational information discussed are accurately gathered and disseminated to the appropriate personnel.
  • Assists Management Team in soliciting new and repeat business through written communications, telemarketing, tradeshows, and entertaining, utilizing effective and creative selling techniques.
  • Assists General Managers & President in forecasting, prospecting, rebooking, and special projects.
  • Works additional hours when necessary due to large volumes of business, such as late or special events, floor coverage when required or asked, and additional responsibilities as needed.
  • Attends meetings internally and externally as requested. Attends and manages trade shows as assigned.
  • Represent our company to appropriately promote the company’s brand and services at trade association meetings, through social media platforms, and in-house systems.

Financial & Administrative:

  • Accurately creates, maintains, and distributes in-house event orders, diagrams, and other event information for food and beverage operations consistent with company guidelines.
  • Accurately creates and distributes event orders for the restaurant and rental equipment to sister properties.
  • Works with management to create, maintain, and update catering and custom menus.

Minimum Requirements:

· Minimum (3) year previous experience planning and executing events or related work experience in restaurants.

· Professional experience using advanced features of Microsoft Office (Word—mail merge, tables, hyperlinks; Excel—designing worksheets/charts; PowerPoint- designing and building custom slides/templates, Publisher, incorporating sound/video clips).

· Experience with online event planning software.

· Excellent organizational, project and time management, problem solving and customer service skills.

· Excellent communication skills, including verbal, non-verbal, written and proof reading.

· Ability to manage multiple projects and work assignments from numerous clients, simultaneously.

· Excellent interpersonal skills both in person and over the phone, with high professionalism, responsibility, integrity, and accountability.

· Fantastic customer service ethic with high expectations for quality.

Preferred Skills and Qualification:

· 1+ year experience using Tripleseat Event Planning Software

· Bachelor’s Degree in related field (i.e., Communication Studies, Business, Hospitality or Marketing).

· Ability to manage multiple tasks and work independently using initiative to overcome obstacles and complete tasks accurately and on a deadline.

· Ability to make independent decisions regarding planning, organizing, and scheduling work for self.

· A collaborative, flexible, and team-oriented work style.

· Adept at qualifying business, negotiating, and selling products to maximize profitability while satisfying client needs.

· Aware of general civic and business community affairs to recognize business opportunities.

· Proven ability to quickly learn new systems and software.

· Maintains superior knowledge in food & beverage and event management trends, industry demographics and market focus. Research new initiatives, technology, products, and services that will continue to propel our company forward as a market leader.

· Ability to train new and existing employees specific restaurant procedures and job functions.

· Attend meetings with all managers to address events.

· Responsible for making sure that all-new hires are trained per our standards and procedures.

· Strong ability to maintain ongoing relationships with past clients in a friendly, courteous, and professional manner, while creating new lasting relationships.

· Maintain partnership with various organizations to promote sales of event space.

· Maintain a professional and clean appearance.
