Job Title:Associate Director of Admissions Eventsand Visit Experience
Department: Admissions
Division: Admissions and Student Financial Aid
Grade: Exempt 12
Position Overview:
Ensuring that every prospective student and their guests have a welcoming, inclusive, meaningful, engaging, and professional experience with Carleton, the Associate Director of Admissions Eventsand Visit Experience will design, implement, and lead best-in-class programming that is aligned with college and divisional goals in recruiting and enrolling students. The position includes the supervision of non-exempt staff, paid student ambassadors, other student volunteers, as well as regular coordination with other staff within Admissions and Student Financial Aid.
Essential Job Functions/Responsibilities:
  • Develops the overall strategy and implementation for the in-person and virtual Visit Experience, individual student/family visits, larger campus visit and event programs, such as: Falling for Carleton (FFC), Admitted Student Programs, and Minnesota Private Colleges Week (MPCW), and other related visit initiatives.
  • Supervises the following:
    • Relevant non-exempt staff (e.g., front desk receptionist);
    • Relevant public-facing paid student employees, including all CASTL (Carleton Ambassadors and Student Tour Leaders), and others, and;
    • Relevant volunteer student admissions ambassadors, including tour guides and overnight hosts.
  • Liaises with other Admissions Office teams, including Access and Diversity, Communications, and Admissions Systems, to ensure programmatic alignment, clearer messaging, integration with Slate CRM, and to ensure equity, access, and inclusion for coordinators of other campus visit programs.
  • Undertakes regular data analysis and preparation of reports to help with the development and assessment of recruitment strategy, primarily using the Slate CRM.
  • Contributes to communications efforts and strategy, which may include print, web, email, and social media, particularly on messages related to above job responsibilities.
  • Serves as a mentor for staff, managing their time and training, and overseeing their handling of event and project coordination.
  • Manages visits and events budgets to support divisional goals.
  • Represents the College to external agencies and groups, including attending regional, national, and international conferences and meetings to maintain the College's visibility.
  • Serves on college committees and collaborates with other office and departments at the college to support a strong, inclusive visits and events experience.
  • Coordinates special projects/tasks and/or directs divisional programming events, in consultation with the Senior Associate Dean and Director of Admissions or other senior members of the staff.

Additional Job Responsibilities:
  • Will also be expected to perform other assignments as deemed necessary by the Vice President and Dean or other senior members of staff.

Supervision Received and Exercised:
  • The Associate Director of Admissions Eventsand Visit Experience is supervised by the Senior Associate Dean of Admissions and Director of Admissions. This Associate Director supervises student ambassadors, including tour guides and overnight hosts, as well as non-exempt staff.

Education/Experience/Skills (supported by job duties):
Required:
  • A bachelor's degree is required.
  • At least five years of relevant visitor oversight experience within higher education or related fields, which may include work in:
    • Admissions
    • Community-based or college access organizations
    • College counseling
    • Secondary or higher education
    • Elsewhere in the non-profit sector
  • Supervisory experience, with professional, student, and other ambassadorial staff.
  • Demonstrable experience developing programmatic goals and assessing outcomes.
  • Strong understanding of current trends in visitor engagement strategy.
  • Excellent interpersonal and team-based skills.
  • Enthusiasm for and demonstrated commitment to supporting a student body that is broadly diverse with regard to gender, race, ethnicity, nationality, socioeconomic status, sexual orientation, and religion, among other factors.
  • Knowledge of online management systems; experience with Slate CRM is preferred.
  • Exceptional oral and written communication skills and the ability to communicate complex issues with clarity.
  • Evidence of creativity and innovation in problem solving and strategy implementation.
  • Strong organizational and project management skills, and ability to multi-task in a fast-paced, high-volume environment.
  • A willingness to work extended and weekend hours during peak periods.
  • Leadership skills: highly collaborative, optimistic, lead-by-example, empathetic, patient, and fun.

Preferred:
  • Master's degree.
  • Experience hiring, mentoring, managing, and supervising staff, preferably in an admissions or enrollment context.
  • Familiarity with Slate CRM, including forms, events, deliver, queries, and reports.
  • Demonstrated commitment to data analysis.
  • Proficiency in languages other than English, particularly in Hmong, Mandarin, Somali, or Spanish.
