Job description

Position Overview

The Operations & Events Director is responsible for oversight and leadership of all Center operations departments: Rentals, maintenance, and venue scheduling. As a member of the Center’s senior leadership team this employee assists in the development, communication, and implementation of organizational goals and strategic initiatives.

Warroad RiverPlaceis a 501(c)(3) non-profit that provides innovative programs, cultural involvement, and services to artists, arts organizations, educators, youth, and the general public – RiverPlace is for everyone, bringing people together to share, inspire, nurture, educate, and enjoy arts and culture. It will be as much of an event center as an arts and culture center.

Position Objectives

· Collaborate with Executive/Artistic Director in the development of performance goals and long-term operational plans

· Maximize efficiency and productivity through extensive process analysis and interdepartmental collaboration with programming, marketing, and development teams

· Set strategic goals for operational efficiency and increased productivity

· Work with Executive/Artistic Director in the development of financial and budgetary plans

· Analyze current operational processes and performance, recommending and implementing solutions for improvement where necessary

· Work with the Executive/Artistic Director and Building Committee on maximizing operational functionality during construction phase, recommending and implementing solutions for improvement where necessary.

· Collaborate with the Executive Director/Artistic Director on developing and recommending operations/event/rental policies for the facility.

· Research and provide recommendations for all soft cost equipment and supplies for the initial set up and start up for the entire RiverPlace facility. Responsible for ordering all equipment and supplies for the facility.

Responsibilities

· Oversee and manage all Center operations, including all event logistics, staffing, and production; kitchen operations; grounds and facilities maintenance; and facility rentals program.

· Accountable for all operations goals while contributing to overall organizational goals and initiatives.

· Create and oversee rental/venue budgets while tracking performance expectations.

· Establish goals and development plans for and evaluate performance of direct reports; oversee these processes for the entire operations department.

· Develop, implement, and monitor day-to-day and event-specific operational systems and processes to report on progress toward goals and any obstacles preventing the Center from accomplishing key initiatives.

· Draw on relationships with staff, external partners, and vendors to make decisions regarding operational activity and strategic goals.

· Plan, monitor, and analyze key metrics for day-to-day and event-specific operations to ensure efficient and timely completion of tasks.

· Devise strategies for ensuring the growth of events/rental programs, and implement process improvements to maximize output and minimize costs.

· Adhere to the Center’s policies and standards, and ensure that any applicable laws and regulations are being followed.

· Work closely with Executive/Artistic Director to lead the operations team with integrity and to establish and maintain a trusting, inclusive, and productive environment.

· Build strong, positive relationships with key stakeholders outside of direct reports; includes all other departments at the Center, the Town of Warroad (especially Parks and Recreation and Public Works departments), and key building users (like Warroad Summer Theatre and Folk School Warroad).

· Partner with Executive/Artistic Director and Facilities Manager to create and monitor building maintenance plan

· Partner with organizational leadership to create Emergency Response Plan. Train to the plan and act as Incident Commander for emergency situations.

· Ensure that necessary permits are in place for continued operation.

· Increase operational efficiency and effectiveness through on-going intra and inter-departmental communication and cooperation.

· Act as RiverPlace representative with the local community as necessary.

· Other duties as assigned.

Required skills and qualifications

· Arts background, familiarity with artistic practices and events desired.

· Masterful organizational, communication, and leadership skills, backed by previous professional success.

· Superior knowledge of multiple operational functions and principles, including finance, project management, customer service, production, and working collaboratively within a team.

· Proven ability to plan and manage operational processes for maximum efficiency and productivity

· Ability to streamline or implement structures and roles that boost speed and efficiency while supporting rapidly shifting business demands

· Highly organized, personable, a team player, and able to work independently.

· Must have a reliable personal vehicle, and manage some sustained physical activity.

Preferred skills and qualifications

· Bachelor’s degree (or equivalent) in business administration or related field

· Experience in developing budgets and business plans

· Superior negotiation skills for both internal and external purposes

· Strong working knowledge of data analysis and performance metrics
