Description
The Development Operations Specialist is responsible for the daily execution of gift processing, data entry and clean-up, gift acknowledgment and other tasks to support donor relations. They oversee the acknowledgement process for gifts coming into the organization. This position works closely with our Development Operations Manager to ensure the accuracy and integrity of our Raiser's Edge / NXT database.
The Development Operations Specialist actively engages in Mary's Place racial equity work - striving for racially equitable outcomes and taking responsibility for creating, maintaining and affirming communities for people of color, immigrants and refugees, trans and gender-non- conforming people, and other populations who routinely encounter systemic oppressions.
This is a full-time, hourly position. The position reports to the Development Operations Manager and does not supervise staff. The hourly wage for this position is between $30 - $32/hour.
Key Responsibilities
Gift Entry (65%)
• Process a high volume of donor gifts from a variety of sources and platforms.
• Meet high standards of accuracy and timeliness.
Primary responsibilities include:
• Import and process online gifts made thru third-party donation platforms
• Mark gift source and designations for accurate financial tracking
• Enter checks and bank deposits received from Finance into batches for review
• Confirm, track, and enter matching gift donations
• Deliver deposit reports for Finance
• Ensure the accuracy and integrity of donor information and donations
• Complete regular tasks and special projects to update constituent records.
• Clean up the database and maximize efficiency of data entry and reporting
• Identify and consolidate duplicate records
Gift Acknowledgements (15%)
• Ensure that gift acknowledgments and tax receipts are issued promptly and consistently for all gift types and constituent groups:
• Run reports and lists for gift acknowledgement and donor gratitude
• Print thank you letters, tax receipts, and mailing labels
• Ensure letters are signed promptly by development staff
• Send Tribute Acknowledgments to honorees
• Oversee annual tax receipt process
Support of Fundraisers (20%)
• Support Development Operations Manager in the running of lists, queries and reports
• Help in setting up microsites and third-party platforms to support campaigns and events
• Assist the Development Operations Manager with tasks as needed to ensure the accuracy and integrity of donor data and gift records.
• Check development inbox and respond to donor inquiries promptly and accurately
• Communicate with donors regarding receipt reprints, donation and refund requests, and other gift-related questions
• Forward donor emails to appropriate staff for response
• Help support the organization with file sharing across the development department utilizing SharePoint
• Assist with other administrative tasks
Requirements
Skills/Qualifications Required
• Experience in data entry
• Ability to complete a large volume of data entry, while maintaining a high standard of accuracy (minimal errors)
• Proficiency with Microsoft Office suite, especially Excel and mail merge functions is required
• Demonstrated experience with learning new platforms
• Experience using Raiser's Edge (both Database and NXT platforms) is preferred
• Experience working with online merchant platforms such as Classy is a plus
The ideal candidate will also demonstrate:
• Ability to work collaboratively in a team setting to accomplish fundraising objectives
• Ability to independently complete work and solve problems, with sound judgment to seek help when needed
• Excellent verbal and written communications skills
• Excellent organizational skills and attention to detail
• Ability and willingness to work a flexible schedule as needed (occasional nights & weekends)
• Highly motivated, resourceful, flexible, and possess a positive attitude and sense of humor
• Strong understanding of and commitment to the Mary's Place's mission
Physical Requirements
• Ability to converse with and listen to people in many different settings
• Ability to use a computer and telephone, as well as other standard office equipment
• Ability to sit, walk, stand, bend, squat, climb, kneel and twist on an intermittent or continuous basis
• Ability to occasionally push, pull, lift and/or carry supplies up to 25 pounds
• Hybrid work schedule with remote and in-office work setting. Long periods of sitting while working on a computer

• Medical and dental insurance with the cost for core employee coverage paid at 100% by the company and competitive family rates
• Basic Life Insurance of $50,000 at no cost to employee; option to buy up for additional coverage
• 403(b) plan with a 50% employer match on the first 6% employee contribution. Eligible to participate upon hire; eligible for the match after first year of employment.
• Unlimited use ORCA pass for a small deduction per pay period
• 10 days paid time off (PTO) each calendar year (accrued by pay period)
