Join our fun, spirited team.Bonus plan, appreciation, security, fun.Reply to this post with “I’m Your Rockstar!”Appointment/Scheduling Coordinator is the Director of First Impressions and is responsible for effectively managing both the Doctor and Hygiene schedules*Appointment Scheduling** Pre-block schedule according to agreed upon procedures and time allotments using the ideal schedule template.* Schedule new patients within two to four days of their initial call when possible.* We are a paperless office so updating patient files; etc.* Educate patients about the value of their appointment times in order to minimize cancellations.* Reschedule patients that fail to show for their appointments no sooner than two-week time frame.* Send a Hygiene Recare reminder card three to four weeks prior to each patient’s appointment.* Be mindful of when the practice is running late and/or early. Call patients with appointments to advise them. Let the clinical team know if a patient is running late.* Keep track of patients who call to cancel, that fail to show, and those patients you were able to “save”. Ensure that all information is tracked in the Management Software System and run reports on progress made. Update the current day’s schedule and advise team on the same.* Maintain a short list of patients and proactively make calls to fill the schedule appropriately when openings/cancellations do occur.* At the end of the day, provide the Doctor and Hygienist with a copy of the schedule along with each patient’s phone number so that a “comfort call” can be made after work hours as needed.* Ensure that the front desk is covered and the phone is promptly answered at all times.* Responsible for calling, sending thank you letters and gift cards to all who refer patient to the practice.*Insurance** Verify insurance coverage for each patient and note any changes in their insurance coverage since the patient’s previous visit.*Administrative** Organize and maintain all office file systems.* Ensure that all patient records are current, up-to-date and accurate.* Maintain and organize the front desk and reception areas for cleanliness, etc.* Perform chart audits to keep the practice’s active patient count current.Job Type: Full-timeSalary: up to $40,000.00 /yearRequired education:* High school or equivalentRequired experience:* Customer Service: 6 months
