Position Specific Description
This position will be based out of the Automotive Engineering Center.
Job Overview
This position provides administrative support and assists with critical records for vehicle replacement activities, accounting/tracking functions associated with vehicle purchase transactions and all license and title activities for new equipment purchases as well as renewal activities for fleet equipment.
Job Duties & Responsibilities
Under general supervision:
- Manages and maintains fleet equipment and vehicle Master Data in financial system
- Maintains critical records with high degree of accuracy
- Serves as data/records administrator for disposal activities and auction records
- Coordinates records transfer from the Company to auctioneer and final customer
- Conducts daily accounting activities for the Company's fuel, vehicle title, and license activities
- Processes and records vehicle acquisition purchase documents, MSO, and titles
- Files with county/state for license, administers HOV stickers, and processes SunPass tags
- Administers vehicle insurance records and processes renewal documents
- Initiates contract renewals and ensures contract values are adequate to process acquisition related invoices
- Interacts with supply chain on contract issues and payment records
- Notarizes and records critical vehicle records/documents
- Processes Equipment Transfer Authorizations (ETA) and Vehicle Justification Form (VJF) records in financial system
- Performs other job-related duties as assigned
