Job Description
PURPOSE OF POSITION: To accurately input all the details of donor transactions and requests into the donor database. To know all coding and tracking systems in order to provide a full profile on each donor. To follow daily mail opening procedures in support of the Agency and the operations of the Agency Advancement Department.
Schedule: Mon-Fri 8:30-5 (flexible work arrangement eligible after 1 year anniversary
ESSENTIAL FUNCTIONS:
· Accurately record all details of donor transactions while posting any type of job batch, including Mercy Home, Police Chaplain and Kolbe House.
· Accurately record all details of donor transactions while posting “Web” batches.
· Accurately record all details of donor transactions while posting “Sunday Mass” batches.
· Perform all duties as necessary as lead poster for specific events.
· Distribute daily “Un-posted Batches” report.
· Perform accurate verification of manual deposit balancing.
· Accurately proof any letters printed by Mission Press.
· Accurately post United Way and any 3rd party transactions.
· Perform transaction reversals and donor record merges.
· Learn and use all coding, tracking systems to provide a full profile on each donor.
· Updating donor records and entering communications from returned mail and general (AX) mail.
· Understand the mail appeals streams.
· Meet deadlines promptly.
· Enter data in Portfolio, Excel, Word or any other computer programs.
· Scan the contents of each envelope for pertinent tracking and code and separate into various job categories needed for Data Entry.
· Prepare bank deposits in conjunction with the needs of the Finance department and electronic banking.
· Insure that any manual / cash bank deposits balance.
· Insure that any manual batches balance with the deposit(s).
· Track any discrepancies before the opened mail leaves the Mail Processing Center.
· Assist in other work tasks, e.g., filing, preparing mailings, etc.
· Be aware of the importance of this role as a "representative" of the President through all dealings with clients via all correspondence, via the phone or in face-to-face meetings.
· Immediately report malfunctions of the computer hardware or software.
QUALIFICATIONS:
· High school diploma.
· Ability to type accurately.
· Ability to write notes, memos, and instructions in English, and preferably Spanish.
· Ability to sort and handle mail, categorize donor mail quickly and thoroughly.
· Ability to use calculator and mail processing equipment.
· Ability to accurately count cash and operate a coin counting machine.
· Experience with Data Entry of scanned documents preferred.
· Experience with scanning hardware and CRM preferred.
· Working knowledge of MS Office.
· Good judgment and swift decision making ability.
· Able to work as needed, including required mandatory overtime and departmental seasonal needs.
· Willingness to work extra hours when needed.
· Regular and predictable attendance.
· Ability to schedule time off during “non-busy” seasons.
· Self-starter in team atmosphere.
· Ability to maintain confidentiality.
· Flexibility to change tasks and/or assignments, especially on short notice.
· Ability to lift and/or move up to 15 pounds.
