Job Description:
The Daily Operations Assistant is the first-line person in processing online applications, scanning mail, admission decisions, and financial aid awards as well as responding to all inquiries received through the main admissions email. The Daily Operations Assistant supports the Assistant Director and Director of Operations with printed and electronic processes, answering phones, and scheduling prospective student visitors using the online calendar. The successful candidate will possess strong technical, organizational, time-management, and customer service skills that support and lead to the success of enrolling students as a representative of the Admissions Office. This position reports to the Assistant Director of Operations. This is a full-time 35hr/week position that pays $17/hr.

Specific Responsibilities
New Student Record Creation
- Review imported data of new inquiries, mailing lists requests and other prospective student data entry.
- Run Consolidate Records process to eliminate duplicate records.
Electronic Records/ Mail Processing
- Upload electronic records received to student records using data checks.
- Scan and upload mail to student records using data checks.
- Sort and distribute other mail.
Applications/ Processing
- Review all applicant data and verify application checklists as new applications are received.
- Scan and Upload electronic documents to student records for the purpose of tracking documents and completing applications.
- Assistant Director of Operations with application completion daily checks.
Admission Decision Processing
- Scan and upload all admission decision letters and scholarship letters.
- Assist with paper letter matching in preparation of decision mailing.
Financial Aid Application and Award Processing
- Review and assess Unconverted FAFSAs received on a weekly basis.
- Upload financial aid award letters to Slate from the Financial Aid One Drive.
Printed Communication Flow
- Assist with mailings as needed.
- Distribute assignments to student workers in the absence of the Assistant Director of Operations.
Deposit Process
- Enter/ confirm deposited student data in preparation for export of data to the College's Student Information System.
- Upload deposited student documents for advising to Image Now.
- Upload Final High School Transcripts to the Registrar's Office.
Admissions Email
- Check, respond to and forward emails received via admissions@mcdaniel.edu as needed on a daily basis.
- Ensure responses are free of spelling and grammatical errors and are appropriate based on office and institutional messaging.
- Check account several times each day to ensure a timely response.
Assist and Schedule Visitors
- Utilize the Admissions CRM, Techolutions Slate, to enter prospective student information at the point of contact, register students for visits, assess event locations and assist families with admission deadlines, processes, and status updates.
- Enter appropriate prospective data for new records, updating records, visit requests and phone calls.
- Verify visit schedule and the type of visit requested based on the time of year and type of student.
Cover Front Desk and Answer Phones
- Second in line to answer multi-line phone and first in line during scheduled visitor times.
- Assist in screening and routing calls and voice mail messages received to the Admissions dispatch line.
- Cover the front desk duties when the Visit Assistant is out and Student Workers are not available.
Visits Email Back-Up
- Check, respond to and/or forward all emails received via the account on a daily basis when the Visit Assistant is out.
- Check account several times each day to ensure a timely response and to assist in scheduling visits as efficiently as possible.
Assist with greeting visitors in the absence of the Visit Assistant.
- Welcome, direct and assist staff with visitors.
- Notify appropriate Counselor of guest arrivals.
- Partner with Asst/Assoc Director of Visit Experiences to assist with walk-in visitors and changes needed for currently scheduled visitors.
Assist with maintaining the Reception Area.
- Monitor reception area to ensure that it is clean and attractive.
- Prepare daily "Welcome Screen" for expected visitors first thing each morning in the absence of the Visit Assistant.
- Maintain supply of brochures and flyers.
- Maintain coffee station supplies.
- Maintain water cooler bottles.
- Check and restock outside Brass Box packets.
Perform other duties as needed or required to support the function of the Admissions Office.
- Assist in Open Houses, Admitted Student Days and other events.
- Assist with data entry and in-house mailings at peak times.
- Assist other Admissions Staff with projects and tasks.

Qualifications
- High school or equivalent diploma required.
- Two years of experience working with the entry and review of data required. Experience with the import and export of data is preferred.
- Admissions experience or previous work in a college setting is desired.
- Demonstrated experience and comfort with online systems, and specifically an online calendar system and data sources is essential.
- Excellent technical, interpersonal, communication, organizational skills to maintain a professional and service-oriented demeanor. Must possess composure, tact, diplomacy, and discretion and be able to work efficiently and calmly in a deadline-driven environment and cycle.
- Excellent time management skills and the demonstrated ability to regain focus after interruptions.
- Strong attention to detail and accuracy with high speed required.
- Working knowledge of a Windows environment and the Microsoft Office Suite (specifically merging documents in Word and manipulating data in Excel).
- Working knowledge of general office equipment.
- Ability to anticipate and plan for cyclical activities and strong analytical skills preferred.
Physical Characteristics
This position requires sitting for long periods of time. This position does have some limited lifting involved but not more than 20 pounds at a time. Quite a bit of finger/hand dexterity is involved in regards to typing. The overall setting of the job is in an area conducive to a normal office environment with minimal exposure to adverse conditions.
