Job Description:
We are seeking a dedicated and compassionate Veterinary Receptionist to join our team at Yellow Dog Veterinary. As the first point of contact for our clients, you will play a vital role in providing excellent Customer Service and ensuring a positive experience for both our clients and their beloved pets.
Responsibilities:
- Greet clients and visitors with a warm and friendly demeanor, providing exceptional Customer Service at all times.
- Schedule appointments and manage the appointment calendar efficiently, ensuring optimal use of veterinarian's time.
- Answer phone calls and address client inquiries, providing accurate information about our services, prices, and policies.
- Obtain and update client information, including medical histories and details, ensuring accuracy and confidentiality.
- Maintain and organize medical records, including filing and electronic documentation, in compliance with established protocols.
- Assist with billing and payment processing, explaining fees and accepting payments from clients.
- Collaborate with veterinary staff to ensure smooth workflow, proper handling of patients, and timely communication with clients.
- Coordinate the admission and discharge of animals, ensuring necessary paperwork is completed and accurate.
- Monitor the reception area, ensuring cleanliness, organization, and a welcoming environment for clients and their pets.
- Assist with basic administrative tasks, such as ordering supplies, managing inventory, and completing data entry as needed.
Requirements:
- High school diploma or equivalent; additional education or certification in the veterinary or related field is a plus.
- Previous experience in a Customer Service or receptionist role, preferably in a veterinary clinic or animal care facility.
- Excellent communication skills, both verbal and written, with a professional and empathetic approach.
- Strong organizational skills and the ability to multitask effectively in a fast-paced environment.
- Knowledge of basic veterinary terminology and procedures is preferred.
- Proficiency in using computer systems and software applications, including appointment scheduling and medical record management.
- Ability to handle difficult or emotional situations with patience, empathy, and professionalism.
- Flexibility to work occasional evenings, weekends, and holidays based on the needs of the clinic.
