This full time position reports to our office/shop Monday-Thursday 730am-5pm and Friday 8am-2pm, no weekends! The Customer Service & Production Administrator serves as the bridge between Sales and Operations and is responsible for the functions necessary in engaging with clients and moving sales proposals into fully executed operational jobs. A great candidate for this role will utilize their computer, organizational, communication, and problem-solving skills to succeed in this position, and will grow their competency for future advancement. The Customer Service & Production Administrator reports to the Office Manager and collaborates daily with the Operations Manager and Sales Team to keep their finger on the pulse of sales and operations activities.

Job Objective:
The Customer Service & Production Administrator's primary objective is to ensure customer satisfaction exceeds the standards set out by The Grounds Guys through an exceptional customer experience and tracking of key results areas.
Responsibilities:
- Demonstrates the ability to carry on a professional conversation with commercial and residential residents, owners and decision makers.
- Adheres to all company policies, procedures and business ethics codes and ensures that they are communicated and implemented within the team.
- Participates and contributes to the development of educational programs offered to clients, prospects, and company employees.

- Help maintain contact with all clients in the market area to ensure high levels of Client Satisfaction.

Primary Activities:
- Client Communication & Expectations: answer, respond to, initiate, & follow up on various communications through phone, email, & text – includes potential, new, & existing clients.
- Client Information: accurate data entry to company Customer Relationship Management (CRM) software.
- Sales Activities: coordinatescheduling of site visits for sales representatives to meet with new clients, and facilitate
follow-up communications regarding sales, designs, and estimates with clients.
- Sales Estimates: assist in tracking & publishing sales estimates, and updating estimate statuses.
- Converting Estimates: move approved estimates through the system and set them up for operations & billing.
- Scheduling: coordination with sales & operations to place jobs on the production schedule.
- Operations Coordination: ensure clear communication to Operations Team on task details and expectations.
- Timesheets & Fleet Monitoring: track absences/tardies, andreview hourly employee timesheets & GPS.
tracking of trucks against daily schedule for accuracy – report discrepancies to Operations Manager.
- Operations Reporting: preparation of daily & weekly operations reports for management review.
- Payroll Reporting: preparation of weekly timesheet reporting for hourly staff review.
- Sales Reporting: daily updating of sales reporting for tracking and managing sales leads.
- Meeting Preparation: preparing and maintaining agendas for weekly, and other, management meetings.
- Project Completion: communicate various project information to clients, coordinate scheduling of final walkthroughs, request reviews, manage project documentation, and prepare for billing.
- Human Resources: administration of applications, onboarding documents, uniforms, & training for new hires, and assisting Managers with administration of incident, discipline, and termination paperwork.
- Supporting Continuous Improvement: activities which support personal development & growth, and identifying opportunities for improvement to processes and procedures which increase business efficiency.
Qualifications and Skills:
- Computer Competency: in order to perform the above listed Primary Activities, you will need to be comfortable learning the details of, and working in, our business management software and other computer applications (Microsoft Office: Outlook, Word, Excel, OneDrive, & Adobe Acrobat).
- Communication: an ability to communicate positively both in speech and writing with the internal team and external clients and suppliers is a key to success in this position.
- Organization & Time Management: an ability to organize workflow and develop focus in managing time is a key to being efficient in conducting the business of this role.
- Problem Solving: being able to adjust to unforeseen events, like weather delays or other factors, is needed to successfully
schedule and assist the Operations Team in completing jobs.
Benefits & Pay
The full time position includes 10 paid holidays & 10 PTO (paid time off) days per calendar year.
The pay range for this position is $700.00 to $800.00 per week and is dependent on experience.
