Role Overview
The Travel & EventsCustomer Xperience Specialist is responsible for providing focused registration expertise and managing the fulfillment of registration data deliverables for each assigned program. Managing program efficiencies in hours as well as client billing reports for vendors, buy in programs and activity expense collection.
Scope of Work
- Manage and communicate the financial health of the data management budgeted to actual hours throughout the lifecycle of each assigned program, communicating with management on resolution recommendations
- Collaborate with various departments on registration qualification, database set up requirements and database technology support. Provide web site review and testing feedback
- Act as a central point of contact within Event Operations for registration throughout the lifecycle of each program. Work with vendors on hotel room block, rooming list, manage attrition and penalties, as well as maintaining activity counts within the database and any special requests
- Answer phone calls and manage emails from attendees on group programs within specific SLA
- Assist with maintaining client reporting requirements, both standard and custom, utilizing IT services when required
- Actively participate in program briefings, debriefs and TD briefings
- Own and manage the integrity of the registration database information throughout the lifecycle of each program incorporating charges through Cvent for activities or buy in programs
- Provide data management support during program operations, including traveling onsite to program destination when applicable. Collaborate with program Travel Directors/ on site team on participant changes
- Provide final program reporting for all clients/programs as requested and needed for billing
- Assist management in developing consistent processes and actively identifying and communicating best practices
Knowledge, Skills, and Abilities
- 4 year degree or equivalent experience
- 1+ years of operational business experience, knowledge of the meeting/event industry preferred
- Computer proficiency in Microsoft office suite
- Proven ability to handle multiple projects simultaneously
- Demonstrated knowledge of technology platforms from a business user perspective
- Knowledge of MS Excel (Macros, V-lookup, formulas) nice to have
- Fluent French or Spanish as a second language, not required but nice to have
- Ability to work in our Minnetonka, MN office 3 days per week during training. After training, working in the Minnetonka office on average 1 day per week
