Jobsite Formwork is an industry leader in the prefabrication of project-specific concrete forming systems. We constantly search for ways to develop new approaches to concrete forming that result in faster, better, and more predictable labor-saving outcomes for our customers in the construction industry.  

This key Customer Service role will provide high level administrative support to the division's select list of customer accounts in a dynamic and collaborative environment.  This position will be responsible for executing all CSR responsibilities while maintaining the highest level of confidentiality, integrity, and professionalism always.  Specific duties include a high level of customer response and service while anticipating the needs of the sales division to drive profitability and results.   

Salary starts @ $45,000 annually based on related experience.

Essential Responsibilities: 
  • Point of contact for all transactional/COD inquiries, evaluate and qualify said inquiry; including pricing, scheduling, and managing each lease that is approved within matrix parameters in a timely manner.
  • Point of contact for all HOUSE accounts, evaluate and qualify said account, including pricing, managing lease from start to finish in a precise and timely manner.
  • Manage all project folders for all House / COD accounts.
  • Obtain all corresponding paperwork needed for all COD accounts.
  • Create any necessary proposals for projects.
Order Processing: 
  • Review and distribution of job write up including contact information, billing instructions, job cost details, and engineering instructions to appropriate parties.
  • System entry of Bill of Material received from engineering.
  • Distribution of the Bill of Material to Operations.
  • Set and communicate ship dates with Customers.
  • Coordinate and confirm required equipment substitutions with Engineering, and Operations.
  • Issue and expedite orders for all consumable and special-order materials.
  • Issue and expedite orders for re-rent material as needed and communicate status with Operations.
  • Manage all backorders for orders to ensure that ship date can be met.
Equipment Shipment: 
  • Finalize shipping schedule with operations and Customer.
  • Generate final pull tickets & system drawings for Operations.
  • Select and schedule freight company for delivery of equipment.
  • Generate Bills of Lading for shipment.
  • Generate system billing. Confirm all items are accounted for and billed, including freight, engineering, consumables, and special-order items.
  • Manage all backorders, follow up shipments, and additional orders in the same manner.
Equipment Returns
  • Send Return Instructions to customer including primary contact, scheduling process, bundling instructions, and maintenance charges listing.
  • Send tally sheets by area or by project/including or excluding quantities per customer request.
  • Select and schedule return trucking.
  • Notify Operations/Returns Team Leader of incoming return, including re-rent items that need to be segregated.
  • Receive return information including counts, cleaning, and damage charges, and return photos from Returns leader and:
  • File return photos per standard.
  • Notify Customer of any count discrepancies, as well as bundling and cleaning issues to prevent future problems.
  • Enter return and generate return billing including damage and cleaning charges. Provide appropriate documentation for all damage/cleaning charges.
Project Close-Outs: 
  • Generate final billing and notify customers of all final lost equipment charges.
  • Ensure that all re-rent for project is accounted for and returned or transferred to new project in system.
  • Audit project file to make sure all required information is included.
General Responsibilities: 
  • Develop thorough understanding of product offerings of JS Formwork division.
  • Creation and maintenance of project files.
  • Liaison between customer, engineering, and operations to communicate changes to projects to all involved parties. Interface with all organizations daily to ensure all customer needs are met.
  • Ability to communicate professionally with customers, vendors, and all levels of the organization.
  • Assisting with month end closing including creation and distribution of continuation and return billing.
  • Special projects as assigned by management.
Working Conditions: 
The work is performed within a typical office environment.  The working environment can be distracting due to moderate noise levels.  There may be prolonged periods of sitting at a desk and working on a computer.  Must be able to lift up to 25 lbs with assistance when needed.   
 
Performance Requirements: 
The successful candidate will be confident, organized and detail oriented.  Must have a high comfort level with technology and experience using a variety of software. Must be self-motivated, able to juggle multiple priorities while meeting strict deadlines & extremely organized.  
 
Education: HS Diploma or equivalent required.  Some college courses preferred. 
Experience: 2-3 years in a similar customer support role or administrative position. 
Certificate/License:  Must have a valid driver’s license.
