In this position, you will own the workflow of incoming projects to a 50+ person Creative team, drive individual creative staff assignments, monitor the capacity of the team, and make sure the team runs like a well-oiled machine. This is the opportunity to work with/on world class creative studio that allows you to influence the direction of the work and the team.
Work Location:Remote: prefers PST (Open to anywhere in the US- should be able to work PST)
Duration: 7 months
Pay Range:$55/hr to $63/hr
Responsibilities:
- Lead the Creative team’s resource management system, partnering with Marketing, Operations Production, Brand and Creative
- Drive weekly resourcing meetings across different business units, partnering closely with Design Directors and Producers to make sure work is flowing and being assigned efficiently
- Schedule, facilitate, and run Discovery (Intake) meetings with Creative Leads/Producers and key stakeholders
- Manage intake, assign, and monitor projects and workloads among the Creative team
- Collaborate with both Creative and PMM/PgM constituents to identify current and upcoming work
- Determine project risk on an ongoing basis, escalates issues as needed
- Manage resourcing forecasting in Jira and Float for all departments based on input from weekly meetings and the Production Team
- Maintain constant knowledge of current and upcoming projects and business development activities as they relate to resourcing
- Monitor day to day project activities and resourcing, identifying potential instances of underutilization and actively work with department leads to address and solve those issues
- A minimum of 6 years experience in a creative services function (i.e., traffic, resource management) at a creative agency or with an internal creative team
- Coming from an agency background would be a good fit
- Strong Project management, and planning & tracking skills
- Required to be a tech or B2B
- Expertise in Jira and/or Jira Service Management and Float Resource Management
- Experience with the tools like Confluence or Trello
- Understanding creative process, you have a deep understanding and empathy for the Creative development process; From Design and Copy to Production and Project Management, you understand the nuances around each role on the Creative team and can navigate those complexities effortlessly
- Experience with conflict resolution & management and capacity planning for this role
- Experience with Monday.com, smartsheets etc.
- You are a premier diplomat, with the right intuition in how to manage and problem solve tricky situations
- You have experience working with internal partners to educate them and build toward a common process and working with stakeholders
- You’re the ultimate communicator—in-person, over Zoom, and via email. You can communicate simply and directly and people always get your jist
- You have proven experience as a multitasker; you excel at prioritization and collaboration across multiple departments
- You’re solution-minded, agile, and have a strong desire to work with a creative, entrepreneurial team in a constantly evolving, fast-paced environment
- You have experience working on projects with a high volume of deliverables with rapid turnaround times
- Case study shows works regarding conflict management & conflict resolution for hiring manager's review
- Review all project intake forms, coming in via our Jira Service Desk - ensuring requests and assignments are accurate and complete before work begins
- Ensure the scope of work for each project is clear and agreed to by the creative team and internal partners – noting adjustments to the scope-of-work as projects progress
- Work to resolve issues regarding under or over allocations of current staff members and resource booking conflicts
- Own our team-wide assignments, providing the organization line-of-sight to all current and upcoming creative work
- Distribute assignments to creative teams in partnership with the team leads
- Track and report with up-to-date information on the forecast of resource capacity across the team
- Make recommendations for the use of freelance labor based on resource capacity and volume of work
- Be comfortable pushing back on incomplete requests and making sure everyone is satisfied with the project intake
- Proven ability to build relations and work effectively by problem-solving across many partners
- Ability to monitor schedules and resources as needed
