General Description:
Seeking a dynamic Receptionist/Administrative Assistant to perform office administration for corporate office of growing general contracting services company. Requires outstanding computer/software skills, strong oral and written communication skills, high level of flexibility, excellent interpersonal skills, ability to multitask. Must be reliable, work well with others, be sensitive to confidential matters, and be detail oriented with a high degree of accuracy. Position will assist with some collections, executive travel and calendars, and coordination of corporate meetings. .
Key Job Responsibilities:
- Answering phone calls in a polite and professional manner.
- Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department
- Managing all incoming/outgoing mail and deliveries; date stamps all incoming invoices and mail on a daily basis and distributes to appropriate departments.
- Assist Legal Department with collections efforts, including, but not limited to, sending demand letters, communicating with customers and staff to assist in resolving billing issues, maintaining detailed notes and status of collections, drafting and recording of liens and preliminary notices, reporting to management on status of delinquent accounts.
- Maintaining and purchasing office supplies, postage, and break room supplies.
- Responsible for maintaining a tidy/professional environment: front entry, lobby, conference rooms, kitchen, office supply room.
- Assist with employee incentive program.
- Responsible for ensuring doors are locked at the end of each day.
- Organizing corporate meetings, including scheduling, sending reminders, and organizing catering and reservations when necessary.
- Other tasks as requested by management.
Work Experience, Skills and Other Requirements:
- Top organizational skills.
- Sit for long periods of time in front of a computer.
- Be able to lift up to 30 lbs.
- Strong computer skills and in depth knowledge of Word, Outlook, Teams, Excel.
- General knowledge of office machinery i.e. fax, copier, scanner, etc.
- Knowledge of principles and processes for providing customer service and executive level administrative service.
- Knowledge of structure and content on the English language including the meaning and spelling of words, rules of composition and excellent grammar skills.
