Job description

We are looking to hire a talented Events Coordinator!

As an Event Coordinator, you will play a pivotal role in planning, organizing, and executing a wide range of events including but not limited to tradeshows, league shows, small scale events and assist with our annual conference that meet corporate objectives, adhere to brand values, and drive engagement. You will work closely with clients and stakeholders to ensure that each event is a memorable and seamless experience. Your creativity, attention to detail, and exceptional organizational skills will be key to your success in this role.

What you will do:

Event Planning

  • Deliver, understand, and coordinate with cross-functional teams on event objectives, budgets and requirements.
  • Create event proposals, timelines, and budgets that meet department objectives.
  • Manage logistical elements for diverse event projects, including, but not limited to, financial transactions, vendor interactions, shipping, catering, decor, apparel, accommodations, venue coordination, entertainment, photography, communications, VIP guest, equipment, surveys, and the creation of promotional materials.
  • Participate in the pre/onsite/post event coordination including but not limited to pre/post meetings, financial reporting, and data transfer.

Event Administration

  • Manage event calendars and schedules, including booking venues and securing necessary resources.
  • Oversee departmental purchase orders, from creation and approval to processing, with a focus on accuracy, budget compliance, and adherence to procurement policies.
  • Coordinate vendor payment processes, including invoices, reconciliations, and budget tracking to ensure Origence compliance.
  • Handle event registration and attendee management, including ticket sales, check-in procedures, and guest lists.

Project Management and Operations

  • Document physical event inventory, asset management, event calendars, staff projects, timelines, and other aspects of event management using departmental Project Management software.
  • Respond to inquiries and provide timely, professional information to event attendees, sponsors, and participants.
  • Execute on-site event tasks when necessary, including event setup, teardown, and related activities.
  • Perform additional duties as assigned.

The ideal candidate:

Education:

  • Bachelors degree in Event Planning, Hospitality, Marketing, Business, or other relevant field or commensurate experience.

Experience:

  • 3 years of relevant experience coordinating social/Corporate Events.

Specialized Skills:

  • Strong organizational skills with ability to manage a high volume of projects, set objectives, and manage to results.
  • Strong communication skills, both written and verbal.
  • Ability to create and maintain a strong sense of urgency both for self and team.
  • Ability to think critically, strategically, quickly come up with creative solutions and ideas both in the office and on the fly.
  • Candidate must be able to handle information of a sensitive matter, such as confidential client information and records.
  • Must be proficient in Excel, PowerPoint, Word, Outlook, and have experience with MAC computers.
  • Excellent people skills are a must as you will be working with Executive Partners to identify needs and ensure satisfaction.
  • Flexibility to work early mornings, late evenings and occasional weekends due to the nature of our events.
  • Excellent relationship management and interpersonal skills: the ability to work effectively with donors, volunteers and staff; display superior judgment and diplomatic skills; excellent verbal and written communications skills.

The starting hourly range for this full-time position in Irvine, CA is $20.97 - $26.21 an hour. This base pay will take into consideration internal equity, candidates geographic region, job-related knowledge and experience among other factors. Origence maintains a highly competitive compensation program. Under company guidelines, this position is eligible for an annual bonus to provide an incentive to achieve targeted goals. Bonuses are awarded at companys discretion on an individual basis.
