Summary
This role is responsible for providing operational support to the EHS/Health Services Department at Universal Studios Hollywood and CityWalk in its pursuit of delivering environmental, health & safety excellence and promotion of a business-wide safety culture. The role will serve as the primary customer-service interface for employees or visitors to the EHS office and will coordinate various administrative, financial, and operational functions required to support various department activities and projects.
Responsibilities
- Internal/External Customer Service - Greets all visitors to the EHS office and fields their inquiries referring them to the appropriate EHS representative.
- Maintains the department conference room calendar.
- Processes incoming safety concerns and near misses received via multiple communications streams (in-person, safety hotline, 2-SAFE email, or other means). Logs concerns into EHS Management System daily, assigned correctly to the appropriate EHS representative for follow-up.
- Finance - assists with administering the department's financial and accounting functions. Completes expense reports for each member of the management team in a timely manner pursuant to company policy.
- Coordinates purchase of and maintains inventories of EHS marketing and training supplies.
- Coordinates purchase of and maintains inventories of department offices and kitchenette supplies.
- Plans and coordinates department Team Member Satisfaction events and activities.
- Coordinates various safety events throughout the year, such as the annual Health & Safety Fair, in partnership with the Employee Community Services team.
- Provides overall support to the department such as maintaining office supplies, phone and IT services, office equipment and facility repairs and maintenance.
- Conducts record-keeping activities to demonstrate compliance with UPR EHS Management System expectations and regulatory compliance.
- Conducts database entry into EHS Management Systems
- Manages compliance tasks in Compliance Calendar module in EHS Management System.
- Review, analyze, and provide status updates to clients for action items, inspections, and audits.
- Create and submit EHS promotional content for Snapshot, Daily X1, and other client-facing communication (i.e., bulletins, program, or broadcasts)
- Uses every opportunity to drive EHS awareness by demonstrating safe behavior, continuous self-development, and education in areas of environmental, health & safety compliance, industry trends and regulatory developments. Utilizes every interaction with others to educate and promote a culture of environmental, health & safety excellence.
- Participate in Safety Committee and other teams as required.
- Associate degree from an accredited college or university in business administration or management preferred
- 2-3 Years: experience working in a fast-paced, customer service-oriented office environment
- Theme Park experience is a plus.
- Proficient in use of all Microsoft applications - emphasis in excel, experience working with database systems, ability to create quality/creative PowerPoint presentations, flyers, or bulletins
- Must have professional language skills, mathematical skills, reasoning ability, ability to prioritize, and multi-task.
- Required On-Site: This position is required to be performed full-time from an NBCUniversal-designated worksite.
