Summary:
The Coordinator, Human Resources - Administration and Wellness will be responsible for assisting with administrative and clerical processes in support of the Human Resources Team as well as supporting with the development, planning and execution of Team Member well-being programs including facilitating daily classes, monthly seminars that emphasize physical and mental well-being and special events including but not limited to Team Member 5K and Health & Safety Week
Essential Functions:
Human Resources:
- Provides general administrative support and performs clerical duties for department Directors, including calendar management, expense reports, travel arrangements, office supplies and ordering, and routine correspondence.
- Assists with processing purchase orders, and invoice payment processing.
- Analyzes, compiles, updates and maintains department reports on spreadsheets, Word, and databases. Refers project data/information to the appropriate parties.
- Schedules and coordinates project meetings and/or conference calls with internal and external clients and vendors. Distribute meeting minutes, initiates and follows-up with action items and Project Management.
- Maintains and archive electronic and hard-copy department files
- Processes project security clearances, reprographic and express delivery orders, office supply and maintenance orders. Onboarding set up for new HR employees. Cubicle or office set up. Equipment. Supplies, etc.
- Assist in maintaining and updating organizational charts.
- Assist in program rollouts and HR related events.
- Kitchen: Order kitchen supplies. Look after kitchen cleanliness, organization and equipment.
- Office Equipment: Manage the upkeep and maintenance of all office equipment, copy machines, computer issues.
- Office Supplies: Order office supplies and organize supply cabinets and closets.
- Physical HR Suite: Manage the upkeep of the physical suite. Carpet and floor issues, missing lights, broken cabinets, furniture, unsafe cords, clutter, removal and replacement of shredding bins
- Filing, copying, ordering and putting up compliance information on a regular basis.
- Other projects and duties as assigned.
Well-being Programs:
- Serve as an advocate for all wellness programs including promotion and participation in programs while collaborating and engaging with Team Members
- Oversee day to day operations of fitness and Wellness programs (virtual and on-site) including scheduling, opening and closing class, tracking participation
- Support department communication including maintaining targeted distribution list, responding to inquires while identifying new ways to promote programs and engage participation
- Collect, monitor, and organize data to analyze programs based on attendance and participant feedback
- Assist with management of Stretch Program including facilitation of sessions, supporting onboarding of trainers, preparing necessary equipment in advance of each session, tracking attendance, ensuring program protocols are followed
- Support special events including creating RSVP links, banners, flyers, collaborating with internal stakeholders to ensure events run smoothly
- Process invoices, reconcile charges and track of all expenses for department
- Review and approve wellness points and attendance
- Organize and maintain department equipment Other duties as assigned to ensure the success and support of USH Team Members.
Qualifications/Requirements:
- Minimum of 1 years work experience in HR or EHS, ideally supporting a corporate well-being or employee engagement team/programs.
- Highly proficient in Microsoft Excel, PowerPoint Word, Access, Teams, and Onedrive
- Must be willing to work weekends (regularly) and evenings (seasonal).
Desired Characteristics:
- Bachelor's degree, in related field.
- Knowledge of the current wellness and wellbeing initiatives, activities and trends
- Experience in theme park or hospitality industry is highly preferred
- Outstanding organizational skills with acute attention to detail and accuracy
- Extremely energetic, positive and proactive when communicating with fellow Team Members at department functions and events
- Demonstrated ability to work well and foster strong relationships within team and across Departments
- Strong team player who is willing to assist colleagues in other areas
- Exceptional communication skills, both written, oral and presentation skills
- Ability to handle multiple tasks simultaneously while adhering to agreed timelines, scope and budget.
