Position Overview
Reporting to the Sr Manager, Sales Operations, this position has direct responsibility for all Piramal GPO contracts supporting the US sale of Piramal inhaled anesthetic products, generic injectable products and Intrathecal products.
- Responsible for all aspects of contract administration and operations analysis including but not limited to: GPO Request for quotations (RFQ), contract awards, wholesaler notifications, contract/pricing set up, membership maintenance, chargeback processing, and compliance review
- Responsible for the management and resolution of all issues related to Contract Administration and Operations
- Supports projects related to improving Contract Operations, costs, and efficiencies
Areas of responsibility and accountability include:
Chargebacks
- Reviews chargebacks with processing team and performs issue resolution in contract/chargeback systems
- Performs chargeback dispute resolution in a timely manner by identifying the root cause of disputes and implements corrective actions to eliminate future occurrences
- Works proactively with internal and external stakeholders to address and/or escalate issues with contract term, membership and pricing disparities
- Responsible for communicating with and providing chargeback activity and supporting documentation to external and internal customers
- Ensures strict adherence to contract requirements and department policies for chargeback processing
- Maintains a keen customer focus in relation to contract operations: Work with internal and external counterparts to exchange ideas to improve productivity and reduce the discrepancy rate while maintaining customer excellence
Process Award Notifications
- Receive signed agreements and manage Contract Coordinator inbox
- Establish Agreements in Salesforce system (GPO/IDN/Local)
- Connect participation list to contract pricing in Salesforce system
- Load authorized wholesalers to contract in Salesforce system
- Process wholesaler notification by effective date
- Update and maintain Salesforce system with Price Agreement Details and committed Membership
- Create Contract Folders (Hard Copy and Electronically)
- Notify 3PL of new contracts and pricing to be created in their system
- Perform regular audits of Price Agreement Details and Membership between PCC and 3PL systems
Process Contract Changes
- Create Amendment to GPO/IDN/Local Agreement
- Process changes in Salesforce system upon receipt of signed amendment
- Load authorized wholesalers to contract in system
- Notify 3PL of wholesaler membership changes
- Keep records of wholesaler membership loaded at 3PL and reconcile periodically
- Process wholesaler notification by effective date (Notification includes GPO Name, Contract Number(s), Product NDC, Pricing, Start Date, End Date, and Participation List)
- Work with the 3PL to have contracts loaded at wholesalers by effective dates, including items, pricing, and membership
- File contract amendments (Hard Copy and Electronically)
Membership Maintenance
- Responsible for downloading monthly membership rosters & changes by GPO
- Review all membership additions, changes & deletes and process according to established procedures
- Provide notifications of changes to Wholesalers, 3PL and sales team
- Review Tier eligibility as part of the Customer Set Up Process and partner with 3PL to make sure this membership is established
- Schedule DEA/HIN maintenance tasks to keep data up to date and accurate
- Maintain membership at IDN level to determine IDN-level compliance for admin fees and rebates
Ad-hoc Projects, Reporting, Other
- Create new customers in SAP/Salesforce and coordinate information with 3PL and other internal systems
- Proactively identify and resolve contract issues based on standard operating procedures, industry knowledge, business analysis, and company objectives (i.e., wholesalers pricing issues, clinics, hospitals, and affiliates)
- Perform chargeback dispute resolution in a timely manner by identifying the root cause of disputes and implement corrective actions to eliminate future occurrences
- Manage Contract inbox to process all contract-related requests from internal and external customers
- Work with Manager and IT to enhance EDI capabilities to transmit contract data to wholesalers
- Field contract inquiries from wholesalers and other internal customers regarding contracts
- Administer contract systems and assist in development of routine and ad-hoc reporting to analyze contract performance and related sales
- Prepare and submit Admin Fee and Rebate reporting for GPOs/IDNs following established measurement and submission schedules
- Support and encourage process and system improvements to streamline the contracting process; participate in cross-functional team projects as assigned
- Build relationships with contract customers and other departments to support objectives and responsibilities
- Perform contract expiration reporting and other ad-hoc reporting tasks
- Other duties as assigned
