Essential Job Duties:The Continuing Education Program Coordinator’s primary purpose is to develop, implement, and manage the administrative facets of local, regional and international Continuing Education Programs and special events. In this role you will serve as the central communication hub for event information, liaising with external clients, faculty, students and staff. There are four key support functions which you will be responsible for executing in this role.
Program Development and Management:
- Develop and manage a diverse range of local, regional, and international Continuing Education Programs and special events.
- Ensure compliance with regulations related to international speakers/guests, creating a welcoming and inclusive environment for all participants.
- Independently identify and address unique challenges related to annual meetings and conferences with multiple tracks and international attendees.
- Facilitate communication through various channels including email, listservs, and websites, maintaining administrative files and data systems.
- Lead and support conference staff and volunteers, fostering a collaborative and productive working environment.
- Provide direction and support to ensure seamless execution of events and programs.
- Manage speaker communication, collect program materials, and coordinate logistics to ensure smooth event execution.
- Negotiate contracts with vendors and venues, oversee event orders, room blocks, and financial reconciliation.
- Design and maintain web pages and registration portals that reflect our mission and services.
- Gather feedback from stakeholders to continually improve user experience and meet their evolving needs.
- Develop budgets, oversee revenue and expenses, and reconcile final financial data.
- Monitor and reconcile budgets for Continuing Education Programs, ensuring financial accuracy and compliance.
- Serves as back up to the front desk receptionist.
- Occasional weekend or evening hours required.
- Serve as a permanent member of the NCVC Executive Planning Committee and a permanent member of the CVM Open House Committee.
- Assist in development of course/program topics.
- Other duties as assigned.
Bachelor’s degree; or an equivalent combination of training and experience.
All degrees must be received from appropriately accredited institutions.
- Prior experience in project planning for events which require extensive cooperation and coordination with public and private entities.
- Experience in a service-oriented environment.
- Current computer skills including proficiency with Microsoft Office products, e-mail, web browsers, presentation software, and spreadsheets, database or events management software; ability to learn new technologies.
- Attention to detail, time-management, and organizational skills; dependability
- Ability to work independently as well as part of a team.
- Excellent interpersonal skills and ability to establish and maintain effective work relationships.
- Very good written and oral communication skills; strong grammatical skills and ability to compose, edit, and proofread.
- Must be able to lift up to 30 pounds.
- Prior experience with web editing tools.
- Website development experience.
- Experience working in a service-oriented environment is strongly preferred.
- Experience training and recruiting volunteers.
- Budget development is strongly preferred.
