Job Description
As a Construction Project Administrator, you will review and prepare new awards/ contracts for signature, review and process administrative requirements in federal construction contracts, issue compliant subcontracts to trade contractor partners, maintain project files - both electronic and binders with tabs, monitor the security clearances processes, participate in project meetings and take meeting minutes, employ problem-solving skill to proactively address client or project concerns, prepare safety boxes, nurture existing client relationships as you work, and provide administrative support to the Project Management team, the Superintendents of projects to which you are assigned, and the Director of Construction.
A successful Construction Project Administrator will demonstrate a strong attention to detail along with the ability to identify administrative and compliance obligations required in contracts. Our ideal candidate has previous experience in the federal construction space - USACE, GSA, NAVFAC, and/or CBP - and is knowledgeable about each entity's processes and systems.
Responsibilities
- Ensure all administrative submittals are scheduled and delivered timely in accordance with specifications described in contract documents
- Administer the submittals process, change orders, contract modifications, and materials purchasing
- Process bonding and insurance requirements for contracts and subcontracts
- Monitor the security clearances processes to support the Project Manager, the HR Manager, and subcontractors
- Prepare compliant subcontracts for trade construction partners that result from effective collaboration
- Prepare for client meetings, take meeting minutes, and distribute information in a prompt timeframe
- Nurture and protect existing business relationships with clients and prospective clients.

Skills
- Proven work experience as a Project Administrator in the field of construction
- Knowledge of federal legal requirements involved with contracts
- Excellent writing skills
- Keen attention to detail, with an ability to spot errors
- Punctual, thorough, committed to accuracy, focused, able to meet deadlines, accountable and responsible, trustworthy, and having integrity
- Familiarity with Davis-Bacon and Service Contract Reporting requirements
- Skillful with Procore, MS Project, and other MS Office products
- Experienced providing administrative support and leadership to PMs, APMs, and Superintendents
- Strong analytical and organizational skills
- Ability to work with varying seniority levels, including staff, managers and external partners
- College degree in a business or construction management field is a plus
