Job Description:
Assistant Controller assists the corporate controller in directing the organization's accounting functions including cost, payables, and reporting. Contributes to the development and maintenance of financial reporting, planning and budgeting systems. Being an Assistant Controller oversees the preparation of periodic reporting and required legal filings. Ensures that all corporate and required accounting policies and procedures are documented and followed by the organization. Additionally, Assistant Controller may train accounting staff. May coordinate with auditors. Requires a bachelor's degree in accounting or finance. Typically reports to a controller. The Assistant Controller typically manages through subordinate managers and professionals in larger groups of moderate complexity. Provides input to strategic decisions that affect the functional area of responsibility. May give input into developing the budget. To be an Assistant Controller typically requires 3+ years of managerial experience. Capable of resolving escalated issues arising from operations and requiring coordination with other departments.
Primary Responsibilities
· Review and work with the field offices to rectify problems
· Respond to daily e-mail, telephone, and facsimile correspondence from field managers and accountants.
· Provide overall accounting control for individual projects as the primary link between the field and the main office
· Facilitate routing and approval of all appropriate vouchers and ensure all costs are recorded on a timely basis.
· Use Procore to monitor compliance issues with subcontractor payment requests
· Prepares and presents executive monthly report
· Supervise accounts payable reporting
· Prepare job cost and general ledger journal entries
· Periodically review subcontractor detail report for reasonableness
· Preparation of the monthly owner billings for projects incorporating all cost accruals, retainage schedules, and any other documentation required by the owner contract
· Provided a monthly reconciliation of cost versus billing for individual projects.
· Make necessary copies of invoices to assist in the preparation of monthly manifest owner billings
· Prepare and organize monthly owner billings and related filing system
· Monitor all accounting deadlines to ensure schedules are being met, including those of the Field Office Processor
· Reconcile payroll accounts
· Reconcile operating accounts
· Prepare monthly gross profit for each project
· Complete daily cash reconciliation and investment schedules
· Maintain revenue schedule tracking total revenue and payments
· Issue weekly delinquent receivable reports to management
· Record daily cash receipts
· Assist with year-end audit and tax schedules to support the financial statements
· Assist with month-end close with general ledger entries and review
· Ensure all accounting processes and procedures are being followed
· Inform Controller of any job or procedural related problems
· Assist in the training of new staff
· Complete any special projects assigned by Supervisor
· Learn to use Prolog and Excel efficiently
Qualifications:
- 8 years of accounting experience
- 2 years of supervisory experience
- Experience working with job costing
- 1 year payroll (preferred)
- 1 year human resources (preferred)
