General Description
The Community Manager - Hybrid/Remote is the essential team member responsible for the oversight of multi-million-dollar residential properties in the absence of the on-site team members. The position reports directly to the Regional Manager. Responsibilities includes leasing calls, scheduling appointments, on-site touring (minimally) resident screening, inspecting units, overseeing expenditures and income collections, cost control, marketing, appropriately resolving resident conflicts and effectively running daily operations. This position is a remote position but can include emergency coverage of assets requiring staff at the on-site level. This position requires a team member who lives within the Treasure Valley and can commute to a specified residential property on-site office on any day needed.
Position Responsibilities / Essential Functions
· Manage a team of 2-8 associates including leasing agents, maintenance professionals and housekeeping personnel
· Manages multiple properties and site teams within a regional portfolio
· Handle and maintain financial responsibility for the community including budgeting, forecasting, and improving net operating income
· Collection of all billed rents in full and on time
· Ensure effective cost control and profitability for the property. Identify problem areas and implement solutions to improve performance of the asset. Recommend annual operating budgets and execute plan within stated guidelines
· Evaluate the property for quality and maintenance requirements and recommend improvements as necessary
· Administer capital and maintenance projects. Contract with outside vendors, prepare statement of work and obtain bids. Execute contract insurance with vendors. Monitor and ensure timely completion of projects
· Process payables, move outs, payroll, and commission
· Complete other periodic requests in a timely and professional manner
· Inspect the property daily, and oversee units for quality control on make-readies as needed
· Oversee the condition and maintenance programs of key asset systems, HVAC equipment, electrical equipment, and property vehicles
· Supervise site personnel daily, and provide training and submit annual evaluations
· Maintain positive relationship with local community and residents
· Keep associates, merchants, regional and corporate management informed
· Other duties as assigned by management
· Process evictions, which includes all necessary paperwork and fees, serving notices, and attending court hearings
· Lease apartments as needed
· Responsible for shopping competitive properties
· Process move-ins, move-outs, and lease renewals
· Audit all new and current lease agreements and resident files for accuracy
· Compose and prepares routine correspondence, rental notices, and other letters and memorandums
· Facilitate with resident retention, which may involve planning and organizing social events at the property
· Participate in Company-provided training such as fair housing, safety, non-discrimination, and harassment prevention
· Comply with all applicable health and safety rules and regulations, as well as applicable local, state, and federal laws
· Charge and collect rents and other fees in accordance with lease agreements
· Follow procedures outlined in lease agreement for late rent collections and work with landlord and tenant attorney to process evictions timely and efficiently
· Maximize rental revenue by maintaining high occupancy and reduction of vacancy loss, bad debt loss, and concessions
· Maintain all accounts receivable including collecting rent, posting rent, making daily bank deposits, and maintaining balanced, accurate rent roll
· Accurate and timely completion of daily, weekly, and monthly financial and leasing reports, including month-end pre-close, closeout, market surveys, and lease expiration matrix
· Audit all records and files to identify dates requiring administrative action, such as lease expiration dates, delinquent accounts, and unlawful detainers
· Collect delinquent account balances from previous residents
· Management of property social media accounts, including reputation management
· Set and implement social media and communication campaigns to align with marketing strategies
· Post rentals to Craigslist three times per day
Experience:
- Minimum of 2 years of experience in property management or related field
- Knowledge of LIHTC (Low-Income Housing Tax Credit) regulations and compliance
- Proficiency in CMMS (Computerized Maintenance Management System) software
- Strong customer relationship management skills
- Proven track record in sales and leasing
- Familiarity with Section 8 housing programs is a plus
- Experience in facilities management is preferred
- Excellent phone etiquette and communication skills
- Ability to multitask, prioritize, and meet deadlines
- Strong organizational and administrative skills
