We are looking to fill a role in our Commercial Construction team with a rockstar administrator. We will provide the training necessary to get a start in the ever growing and never ending field of construction. We are looking for a self starter that is looking to learn and take the next challenge.
Our ideal candidate is extremely organized and efficient - as well as being personable to continue forming relationships with customers and vendors. You must thrive on multi-tasking and be solution focused. This position will require 30-40 hours in office each week with the potential to work remotely one day a week.
Responsibilities
- Purchasing of materials for upcoming construction projects, with a focus on beating the budget and ensuring expedient and accurate project ordering
- Directing fabrication and shop staff to prioritize projects, and ensure timely delivery with excellent craftsmanship.
- Creating systems and organization to keep project management on track, transparent and sustainable over time and across multiple projects.
- Communicate: be a steward of excellent clear and consistent communication for our customers- internal and external
- Coordinate and manage multiple projects. Facilitate a smooth handoff between sales and operations and ensure project continues to construction and completion in accordance with our company standards of excellence.
- Lead close out on projects to ensure accurate billing, collections, job costing, and data for analysis.
- Manage and route phone calls appropriately
- Process and report on office expenses
- Schedule in-house and external meetings
- Organize company documents into updated filing systems
- Address employees’ and clients’ queries (via email, phone or in-person)
- Prepare presentations, spreadsheets and reports
- Create and track purchase orders
Skills
- Proven work experience as an Administrative Coordinator, Administrator or similar role
- Hands-on experience with MS Office Suite (particularly MS Word and MS Excel)
- Familiarity with office equipment, like printers and fax machines
- Basic math skills
- Solid time-management abilities with the ability to prioritize tasks
- Excellent verbal and written communication skills
- High school diploma; additional qualification in Office Administration is a plus
