Elite Austin is a local design company specializing in home staging, furniture leasing, and furniture sales. We are looking for a Client Services Coordinator to join our team! Our Client Services Coordinator (“CSC”) is responsible for providing sales support to our client base and the rest of the Client Services team and is the primary point of contact for our Design and Logistics teams. The CSC ensures a consistent client experience that is aligned with our luxury brand by communicating professionally and in a timely manner. The right person possesses strong communication, organizational, and time management skills. The ideal candidate enjoys analyzing information and tracking the many details involved in sales, operations, and client relationship management and is also able to think through complex problems. 

The Client Services Coordinator owns daily billing tasks which require great attention to detail and proficiency in basic math skills. 

Key functions include scheduling our team, booking installations for our builder clients, supporting the rest of the Client Services team to achieve our weekly sales goals, entering and maintaining data within our CRM software (Salesforce), and overseeing client billing to ensure an Elite client experience, as well as taking on individual projects to support our team.

Compensation

  • $56,000/year OTE including $43,000-$46,000 base salary dependent on experience + sales commission + bonus plan

Responsibilities:

Client Services

  • Serve as liaison between the Design and Logistics departments and the Client Services department by quickly sharing important client updates with the team and relaying information from our team back to our clients 
  • Assist and interact with builder clients in a timely fashion by phone, text, and email and manage the builder client Salesforce pipeline 
  • Email important reminders to all clients such as procedures for upcoming installations, upcoming move-outs, etc.
  • Create and manage Slack channels by creating channels for each new opportunity, posting relevant property and client information, assigning tasks to other Client Services team members and designers, promptly answering internal questions, sharing client questions, and closing channels as needed 
  • Communicate with clients to coordinate consultation appointments and installation and move-out dates, resolve any property access issues, and provide arrival windows

Administrative + Billing

  • Maintain company calendar by scheduling client consultations, staging installations, move-outs, and any other events or meetings and ensure all details in the calendar are accurate  
  • Update CRM database with current client, property, and product data
  • Draft and send client documents such as proposals, contracts, and bills of sale 
  • Own all billing tasks such as paying vendor invoices and submitting expenses through Expensify, creating and sending client invoices, processing client payments, calculating prorated final payments and refunds, maintaining a master contract log, maintaining a list of clients on net terms, and following up on any outstanding payments 
  • Make billing easy for clients – take payments over the phone when necessary, accommodate billing requests, and answer billing questions
  • Own and document billing processes and make updates to processes as needed 
  • Develop a solid understanding of our pricing and be able to calculate rental rates and furniture purchase pricing

Miscellaneous

  • Participate in team meetings and company culture events
  • Contribute to continuous process improvement and refinement to better the client experience and increase efficiencies 

Qualifications:

Elite Austin will only consider high-energy and high-integrity applicants. We are looking for the following knowledge, skills, and abilities:

  • 1 to 3 years of related experience with a focus on client relations and sales operations
  • Customer service focused
  • Self-motivated with ability to prioritize, manage time, and keep projects on track
  • Excellent written and verbal communication skills
  • Strong attention to detail with proven organizational abilities
  • Proficient with Apple products and Microsoft Office (Excel in particular), Google Docs, Slack, and CRM software
  • Ability to withstand high-stress situations
  • Solid system for tracking ever-changing to-do lists, projects, goals, and metrics
  • Flexible and resilient in a fast-paced and dynamic environment
  • Ability to problem-solve effectively and efficiently

Preferred

  • Bachelor’s degree 
  • Salesforce experience 
  • Sales operations experience
  • Experience with a luxury brand or real estate industry
  • Bookkeeping experience
